A clinic practice team's AI agent competency matrix sets out what receptionists, billing staff and the practice manager must know once agents handle bookings, billing queries, supplier orders and complaint acknowledgements. In a small practice one person covers several roles, so the matrix tracks people, not job titles, and gives every agent a capable reviewer each clinic day.
Why does a practice team need its own matrix?
Size. A clinic practice might have six people running the whole non-clinical side: two receptionists, a billing administrator, a practice administrator, a practice manager, and a clinician who owns the clinical rules. When agents arrive, there is no separate operations team to absorb held items or a separate risk team to test controls. Each person carries more of the oversight, and a single absence can leave an agent's queue unattended.
So this matrix is built around cover. For each agent capability it asks: who can review it today, and who stands in if they are away? It also keeps the practice manager's attention on the few actions that move money or touch patients directly, such as refunds, supplier payments and complaint responses. For the manager's own learning, see what clinic practice managers should learn before working with AI agents. The broader map is AI agent skills by role.
How do you fill it in?
- List each agent capability and its depth across the practice.
- Put each person's name, not just their role, across the top.
- In each cell, mark R (can review and send or approve), B (backup, can review under supervision), or leave blank.
- Check every row has at least two people marked R or B. A row with only one is a gap to close before the agent goes live.
- Add the date each R was last confirmed by the practice manager.

| Reminders and recalls (3) | Checks templates disclose nothing clinical | ||||||
| Billing queries (2) | Checks answers against the fee schedule | ||||||
| Patient refunds (4, held) | Approves refunds on evidence | ||||||
| Supplier orders (2) | Checks against stock levels and approved suppliers | ||||||

A worked example
A hypothetical dental practice with five non-clinical staff: Asha (practice manager), Ben (practice administrator), Carla (billing), Dev and Ella (reception). Names and details are illustrative.
| Capability | Asha | Ben | Carla | Dev | Ella | Covered? |
|---|---|---|---|---|---|---|
| Bookings (3) | R | R | R | R | Yes | |
| Reminders (3) | R | R | B | B | Yes | |
| Billing queries (2) | R | B | R | Yes | ||
| Patient refunds (4) | R | R | Yes | |||
| Supplier orders (2) | R | R | Yes | |||
| Supplier payment (4) | R | B | Yes | |||
| Complaints (2) | R | R | Yes | |||
| Held or refused | R | R | R | R | R | Yes |
Patient refunds are approved by Asha or Carla, never by reception. A refund moves money and is hard to undo, and the receptionist who took the payment should not also approve its return. The approver rule for the practice team writes that down.
Supplier payment is the thinnest row: Asha approves, Carla is only backup. If a supplier emails new bank details, the agent will refuse to apply them, because an external claim cannot authorise a payment. Carla's training priority is to confirm details by calling the supplier on a number already on file, so she can move from B to R.
The reviewer rota for the practice team then turns the matrix into days: on any day Asha is off, Ben covers bookings and complaints, Carla covers refunds, and supplier payments wait.
Where the Academy fits
Pryme Intelligence Academy suits small teams because lessons, labs and tests are free and can be read or listened to as audio between patients. Foundations gives everyone the shared vocabulary in about four hours. The practice manager and billing lead can take the Operator track, and its certificate shows its expiry at source.
Questions people ask
Does the dentist or doctor need to be on the matrix?
The clinician who owns clinical rules should be listed against reminders and complaints about care, because they approve wording and receive escalations. Other clinicians need only know what the agent does.
What if only one person can approve refunds?
Then refunds wait when that person is away, which is safer than letting someone untrained approve them. Train a second approver as soon as you can.
Is this the same as a fraud team's matrix?
No. A fraud team's competency matrix assumes specialists and volume. A practice matrix assumes a few people covering many tasks, so it centres on cover and on keeping money decisions with the right person.
