Student services teams need an AI agent competency matrix that separates routine enquiries from decisions about a student's progress, money or wellbeing. Agents can answer timetable and fee questions and draft extension responses; advisers must spot distress in a routine message, apply academic rules consistently, and approve anything that affects a student's record or funds.
Where does the risk sit in student services?
Most of the volume is simple: enrolment dates, timetables, where to collect a card. An agent can answer these at depth 2 or, once certified, at depth 3 within set topics. The risk sits in the small share of messages that are not what they seem. A student asking how to defer an exam may be in crisis. A request about fees may hide financial hardship that a hardship fund could address. A parent asking about a student's grades raises a data protection question, not a service one.
So the defining adviser skill is triage by a person after triage by the agent: reading the agent's sorting and catching the cases it filed as routine. The second skill is consistency. Extension requests, fee plans and appeals follow rules, and students compare notes. Advisers who approve the agent's drafts must apply the rules the same way each time and be able to say which rule decided.
The full list of hard stops is in what student services teams should never let an AI agent do. The wider view is AI agent skills by role.
How do you fill it in?
Use the template below. For each service area, write what the agent does, then the skill an adviser needs to oversee it, then targets for each role on this scale:
- 1, knows: understands the agent's part and can explain a held or refused request to a student.
- 2, decides: reviews and sends drafts, approves within limits, escalates correctly.
- 3, owns: sets the rules the agent follows, approves exceptions, coaches others.
Finish with a column listing the signals that must always reach a person.

A worked example
A hypothetical college with eight advisers, two seniors, a head of service and a wellbeing lead.
| Area | Agent's part | Adviser | Senior | Head | Wellbeing | Always to a person |
|---|---|---|---|---|---|---|
| Enquiries | Answers, 3 | 2 | 2 | 3 | 1 | Complaints, appeals |
| Extensions | Drafts, 2 | 2 | 3 | 3 | 1 | Medical or bereavement grounds |
| Fee plans | Drafts, 2 | 2 | 3 | 3 | 1 | Arrears with hardship signs |
| Hardship funds | Collects, 1 | 1 | 2 | 3 | 2 | Every award |
| Record changes | Drafts, 2 | 1 | 2 | 3 | 0 | Grade or status changes |
| Third parties | Refuses | 2 | 2 | 3 | 1 | Any request about a named student |
| Wellbeing | Flags, 1 | 2 | 2 | 2 | 3 | Any risk to safety |
| Record | Files | 1 | 2 | 3 | 1 | None |
Advisers are at level 2 on wellbeing, not 1, because they see messages first. The agent flags words it was told to flag; the adviser must also catch the student who writes "I can't do this any more" about an essay. The wellbeing lead owns the signal list and updates it when a missed case shows a gap.
Hardship awards are always decided by a person and only seniors approve them. They move money, and fairness between students matters as much as speed. The approver authority matrix for the student services team sets the limits. Healthcare teams face a similar blend of admin and welfare, as the competency matrix for the patient services team shows.
Where the Academy fits
Pryme Intelligence Academy's Foundations badge gives every adviser the vocabulary of held, refused and depth at no cost, and its lessons can be listened to as audio between appointments. Advisers who approve drafts can take the Operator track, with tests set in their own sector and role. The admin view shows each person's certificate and expiry against this matrix.
Questions people ask
Can an agent approve an extension?
Only if the institution has set narrow, rule-based extensions the agent may grant at depth 3 and the agent has earned that depth. Requests on medical or personal grounds should always go to a person.
Should advisers be able to change the agent's answers?
They should be able to edit drafts and report wrong answers. Changing the agent's sources or rules belongs to the head of service as owner, so changes are controlled.
What about students under 18?
Some institutions serve younger students, which raises safeguarding duties. Add safeguarding to the "always to a person" column and give the wellbeing lead level 3 on it.
