AI agent training for credit controllers at accounting practices in Brazil

What credit controllers at Brazilian accounting practices must learn to work with AI agents, what stays with them, LGPD and Pix considerations, and a 90-day plan.

Credit controllers at Brazilian accounting practices chase monthly fees from hundreds of small business clients, and agents can take on matching, reminders and statements. Training should cover each agent's depth, reading verdicts, and keeping protests, suspensions, write-offs and client relationships with people. LGPD, the ANPD and Pix settlement rules shape the oversight.

What does credit control look like inside a Brazilian accounting practice?

A typical practice bills small and medium clients a fixed monthly fee for bookkeeping, payroll and tax filings, plus extra fees for one-off work such as company openings or annual declarations. Invoices go out as electronic service invoices, and clients pay by bank slip, Pix or transfer. Many pay late around tax deadlines, when their own cash is tight.

The credit controller matches receipts, chases overdue fees, agrees payment plans and recommends when to stop work or escalate. That last step is delicate. The practice holds the client's books and filings, and stopping work can push a client into missing a tax deadline. Escalation options include registering the debt with a notary's protest office or a negative listing with a credit bureau, and both affect the client's ability to borrow.

Which tasks can agents take, and at what depth?

Certification should include the months around tax deadlines, when payment patterns change. The depth the agent earns, from 1 (read) to 4 (actions that move money or are hard to undo), never exceeds the role's ceiling.

Task Depth Who checks
Matching Pix and bank slip receipts to invoices 3 for exact matches once certified Controller reviews partial and unmatched items
Statements of account 3 Spot checks
First and second reminders 3 within approved wording and timing Controller samples weekly
Payment plan proposals 2: drafts Controller agrees terms
Refunds of overpayments by Pix 4, held A named partner or manager releases
Protest, credit bureau listing or suspension of work 1: reads and flags Partner decides

Pix settles instantly, so a refund sent to the wrong key cannot easily be recalled. Holding refunds for a named person is the minimum.

What must stay with the credit controller?

  • Escalation to protest or a bureau listing. It damages a client's credit and the relationship, and it must be accurate and properly notified.
  • Suspending work. The practice's professional duties and the client's tax deadlines must both be weighed.
  • Payment plans for clients in difficulty. These need judgement about the client's business.
  • Write-offs and fee disputes. They involve partners and sometimes the quality of the practice's own work.
  • Any contact with a client's owner on a personal matter. Small business clients are often individuals, and tone matters.

The case for keeping these with trained people is made in why credit controllers are the real control in an agent deployment, and the red lines are listed in what credit controllers should never let an agent do.

What should credit controllers learn?

They need to read a verdict: allowed, held, refused or withheld, with the record naming which of five bounds decided, namely role scope, certificate, sources, the practice's own limits or the platform guardrails. A refused protest recommendation, for example, should be refused because your limits forbid the agent to take that step at all.

They need provenance. The practice's own billing ledger and bank feed are sealed; a client's claim that they paid, with a screenshot of a Pix receipt, is external until the money is in the feed. An external claim cannot clear an invoice.

They need to bank corrections. If the agent keeps misallocating payments from clients who pay several months at once, the fix belongs in its sources; teaching credit controllers to bank corrections explains how. And they need to know the agent's lifecycle: its certificate lapses after 90 days, and a run that clears no depth drops it to depth 1 the same day.

Which Brazilian rules matter for oversight?

LGPD, enforced by the ANPD, applies to client data, including personal data of individual owners and their employees held for payroll. It requires a lawful basis and purpose for processing, minimisation and security, and gives people the right to request a review of decisions taken solely on automated processing that affect their interests. A collections agent reading payroll files it does not need is a data protection problem as well as a design one.

Pix is operated by the Banco Central do Brasil, and refund and return mechanisms follow its rules. Debt collection must not expose the debtor to ridicule or undue pressure, and protest and bureau listings carry notification requirements. The accounting profession's own rules on confidentiality limit what a reminder may say and to whom. If the practice serves EU clients, GDPR may also apply.

This is an explanation of the rules, not legal advice; confirm how they apply to you with counsel.

A 90-day plan

  1. Days 1 to 30. Literacy for credit controllers, billing staff and partners: depth, verdicts, provenance and the record. Write the practice's own limits, including a refusal on protest and listings by agents.
  2. Days 31 to 60. Controllers review the agent's matching and reminders daily, and calibrate weekly on a sample of unmatched receipts and plan proposals.
  3. Days 61 to 90. Tie refund release and escalation authority to a current certificate. Rehearse a certificate lapse before a tax deadline peak.

Bookkeepers who prepare monthly closings and payroll staff who see client cash flow first need training too, as which roles in accounting practices need agent training sets out. Partners who doubt the effort should read accounting practices will not scale agents without trained reviewers; the guide to AI agent skills by role maps the rest.

Where the Academy fits

Pryme Intelligence Academy's Foundations badge is free and has no expiry, so small practices can train everyone. Credit controllers who release refunds take the Operator track, with a written exam of 40 questions (32 to pass) and a two-week practicum of real review decisions. Seats come with paid Pryme Intelligence plans and include certificates for the people on them.

Questions people ask

Can the agent clear an invoice when the client sends a Pix receipt?

No. It should mark the claim and wait for the payment to appear in the bank feed.

Should agents chase clients near tax deadlines?

They can send approved reminders, but timing matters. Many practices soften or pause reminders in deadline weeks, and that should be a rule in the agent's bounds.

Who decides to stop work for a non-paying client?

A partner, after weighing the client's filing obligations and the practice's professional duties.
