South African law firms that let agents prepare conveyancing files, collections letters and court papers need paralegals trained to check that work line by line. Courts have criticised practitioners who filed fictitious authorities produced by AI. Paralegals must learn how agents decide, how to review drafts and how to bank corrections; filings, trust payments and advice stay with people.
What do paralegals at South African firms do?
Conveyancing is a large share of the work. Paralegals and conveyancing secretaries prepare transfer and bond documents, obtain clearance figures and certificates from municipalities, coordinate with banks and the other attorneys, and track the file through lodgement at the deeds registry. Funds flow through the firm's trust account, and fraud aimed at diverting them is a serious and familiar risk.
Collections is another. Many firms act for creditors, sending letters of demand, issuing summonses and managing judgments, in high volumes where consistency and accuracy matter. Litigation support, including personal injury and road accident compensation claims against the state fund, adds bundles, expert reports and court deadlines.
Throughout, paralegals work under attorneys, who answer to the profession's regulator for the work and for the trust account.
Which tasks can agents take?
| Task | Depth | What stays with people |
|---|---|---|
| Assemble the conveyancing file and list outstanding certificates | 1 | Deciding the file is ready for lodgement |
| Draft transfer and bond documents from the deed of sale | 2 | Attorney's review and signature |
| Draft letters of demand within approved templates | 2, then 3 | Any case outside the template; summonses |
| Draft heads of argument or summaries with cited authorities | 2 | Checking every authority exists and says what is claimed |
| Release trust funds | Held | Authorised people only |
A clearance figure issued by the municipality is signed; a bank detail change in an email is external and cannot authorise a payment. Each verdict shows the provenance that decided it.
How should paralegals review an agent's work?
Check the source for every claim. For conveyancing documents, compare property descriptions, parties and amounts with the title deed and deed of sale. For collections letters, check the debtor's details, the amount and the contractual basis. For court papers, read each cited authority; an agent can produce a plausible citation for a case that does not exist, and courts have been unforgiving. The method is in how paralegals review an AI agent's decisions.
Then record what was wrong. A paralegal who fixes a draft and writes why gives the firm a correction that can improve the agent's brief and sources; see teaching paralegals to bank corrections.
What must paralegals learn, and what stays with them?
Learn: the agent's depth and the depth each action needs, the four verdicts, the minimum chain of five bounds and provenance; how to review drafts against sources; how to correct; and how certification works. The agent is certified on the firm's own past files, its certificate lapses after 90 days; a lapse, or a run that clears no depth, drops it to depth 1 the same day, at which point letters of demand at depth 3 return to people.
Keep: legal advice, always with an attorney; filings and service; the decision that a conveyancing file is ready; trust account payments and any bank detail change; client identification decisions under anti-money-laundering rules; and the decision to pause an agent.
The firm should write down who may approve each held action. An approver authority matrix for a legal operations team does this, and a reviewer rota for a legal operations team makes sure held work is cleared before lodgement and court dates.
Which South African rules apply?
The Information Regulator enforces the Protection of Personal Information Act (POPIA), which governs personal information in client and debtor files. It requires processing to be lawful, limited to its purpose and secure, and restricts decisions based solely on automated processing that significantly affect a person, which matters in collections. The agent's access should be limited to the matters it is assigned.
The profession's regulator and its rules require attorneys to supervise staff, keep trust accounts strictly and act with honesty towards the court. Attorneys are accountable institutions under South Africa's anti-money-laundering law for certain work, which means client identification and reporting of suspicion. Where a firm acts for financial institutions, the FSCA and the South African Reserve Bank's Prudential Authority supervise those clients, and their expectations can flow into the firm's instructions.
There is no specific South African AI law.

A 90-day plan
Days 1 to 30. Paralegals, conveyancing secretaries, candidate attorneys, supervising attorneys and the trust bookkeeper complete Foundations (about 4 hours). The agent assembles conveyancing files at depth 1.
Days 31 to 60. Paralegals take the Operator modules on human review, teaching the agent and when something goes wrong. Conveyancing documents, letters of demand and court summaries move to depth 2. Every authority in an agent draft is checked by a person.
Days 61 to 90. Paralegals sit the Operator exam (40 questions in 60 minutes; 32 correct to pass) and complete the two-week practicum on live files. Letters of demand within the template move to depth 3 after the agent is certified on the firm's own collections.
Conveyancers, candidate attorneys and bookkeepers need training of their own; which roles in legal services need AI agent training lists them, and AI agent skills by role shows how the paralegal's skills fit the wider map.
Where the Academy fits
Pryme Intelligence Academy sets module tests in legal services and in the paralegal's role, so practice involves conveyancing files and court papers rather than generic tasks. The Operator practicum is signed off by a Pryme assessor, and certificates are listed on a public register with expiry dates. A firm can adopt the practice of letting only certified staff approve held work.
Questions people ask
Can the agent send letters of demand automatically?
After certification at depth 3 within approved templates, yes for routine cases. Disputed debts and anything outside the template should be held.
How do we stop fictitious citations reaching a court?
Require a person to read every authority before filing, and hold any draft where the agent could not match a citation to a source.
Who may change bank details on a conveyancing file?
Only an authorised person, after verifying through a known contact. The agent holds any payment until that is done.
