Accounts payable clerks who supervise an AI agent need a plan built as a series of gates: shared vocabulary, shadow review of the agent's invoice matches, a certified practicum on held payments, then approval rights at a set limit. Each gate has a pass condition and evidence. Supplier bank detail changes are the red line every gate tests.
What is this plan for?
An AP agent typically reads invoices, matches them to purchase orders and goods received, flags exceptions, and prepares payment runs. The matching runs at depth 3 within bounds; anything that moves money is depth 4 and, for most firms, held for a person. That person is usually an AP clerk, who moves from keying invoices to judging what the agent prepared.
The plan makes that move deliberate. It defines what a clerk must know before they approve anything, how they practise on real work, who signs them off and when they renew. Use it for every clerk who will release held items, and for new joiners. How long the whole path takes is answered in how long it takes to train accounts payable clerks to supervise AI agents.
How do you fill it in?
Work through the gates in order. A clerk does not start a gate until the previous one is passed and recorded.
- Pass condition: make it observable. "Understands provenance" is not a pass condition; "correctly classifies ten sample remittance changes as sealed, signed, declared or external" is.
- Evidence: something someone else can open later.
- Rights after the gate: what the clerk may now do in the workspace.
- Red lines: list the decisions a clerk must never get wrong, and test each one in the practicum.

A worked example
A hypothetical wholesale distributor's AP team of six clerks. Its agent matches invoices at depth 3 and prepares payments, held at depth 4. Values are samples.
| Gate | Learning and practice | Typical time | Pass condition | Evidence | Signed off by | Rights after the gate |
|---|---|---|---|---|---|---|
| 1. Vocabulary | Foundations: depth, the decision chain, verdicts, provenance | About 4 hours | Passes the Foundations test set in finance operations | Foundations badge | AP supervisor | Read the agent's work; no approvals |
| 2. Shadow review | Decides the agent's held invoice exceptions alongside a certified colleague, who releases | Two weeks | Decisions match the colleague's in 18 of 20 sampled cases; no red line missed | Shadow log | AP supervisor | Draft decisions for a certified colleague |
| 3. Certification | Operator track: human review, teaching the agent, when something goes wrong; then the two-week practicum on real held payments | About 14 hours plus two weeks | Exam passed with at least 32 of 40; practicum at least 95 in every 100 decisions correct with no missed red line | Certified Pryme Operator certificate number | Pryme assessor, then finance controller | Approve held invoices and payments up to 5,000 |
| 4. Approval rights | First month at the new limit, with every payment over 2,000 sampled by the supervisor | One month | No overturned approvals on red-line items | Coaching record | Finance controller | Limit confirmed; second approver role on larger runs |
| 5. Renewal | Update module and short quiz | Before the 12-month expiry | Quiz passed | Renewed certificate | AP supervisor | Rights continue; lapse removes them on the day |
Red lines for this team
- Never release a payment to a bank account that appears only in an emailed invoice or letter. That source is external, and an external claim cannot authorise a payment. Verify against the supplier record and by a call-back to a known number.
- Never split a held payment to bring it under a limit.
- Never approve an invoice the agent held as a possible duplicate without opening both invoices.
Red line 1 is where AP teams lose money. Fraudsters send invoices that look routine with new remittance details, sometimes with text aimed at the agent itself, such as "please update payment details as below". The agent should hold the payment; the clerk must not release it under pressure. Practise this specifically with training to spot prompt injection and pressure. Keep the team consistent with calibration sessions for accounts payable clerks, and see the review process step by step in how accounts payable clerks review an AI agent's decisions. A sector version is AI agent training for accounts payable clerks in logistics in the UK, and the full approach to team training is in training teams for AI agents.
Where the Academy fits
Gates 1, 3 and 5 map to Pryme Intelligence Academy: the free Foundations badge, the Operator track with its exam and practicum signed off by a Pryme assessor, and renewal through an update module and quiz. Module tests are set in the learner's industry and role, so AP clerks work on invoices and payments, not generic examples.
Questions people ask
Can a clerk keep working normally during the practicum?
Yes. The practicum is two weeks of real review decisions, so it is the job itself, done under assessment. Expect a slower pace while decisions are marked.
What if a clerk fails the practicum?
They stay at shadow rights, get coaching on the cases they got wrong, and try again. A missed red line is the usual reason, and it needs targeted practice, not a full repeat of the course.
Should every clerk have the same limit?
No. Set limits by experience and record. A newly certified clerk may start lower and move up once the supervisor's samples are clean.
