Caseworkers supervising an AI agent need a plan of about eight weeks: one week of shared vocabulary, two of reviewer learning, two in shadow on the agent's drafted case work, two of assessed practicum, then sign-off. Throughout, the plan protects one rule: decisions that affect a person's entitlement, safety or rights are made and explained by the caseworker.
What is this plan for?
Caseworkers in public services, housing, social care and advice organisations spend much of their time gathering information, checking it against rules, writing letters and keeping records. An agent can help with each: read a case file at depth 1, draft a letter or a summary at depth 2, and in narrow cases complete routine updates at depth 3, such as booking an appointment within set bounds.
Decisions about the person stay with the caseworker. Public bodies face additional transparency and fairness duties, and under the EU AI Act some public uses of AI are high-risk. Even outside those rules, a person told they are not eligible deserves a reason a human can stand behind. The plan trains caseworkers to judge the agent's drafts against that standard. For the time it usually takes, see how long it takes to train caseworkers to supervise AI agents.
How do you fill it in?
- Week: keep the sequence; adjust the pace to caseload.
- Focus: what the caseworker is learning that week.
- Hours: protected time away from the caseload.
- On real cases: what they do with live work.
- Output: what is filed at the end of the week.
- Checked by: the person who confirms the output.
Block training hours in the diary before the plan starts. Caseworkers with full caseloads will otherwise lose the time to emergencies.

A worked example
A hypothetical housing association's tenancy support team uses an agent that reads case notes, drafts support plans and letters, and books follow-up visits. Hours are illustrative.
| Week | Focus | Hours | On real cases | Output | Checked by |
|---|---|---|---|---|---|
| 1 | Foundations: why agents must be governed, depth, verdicts, the record | 4 | Reads the agent's case summaries with no action | Foundations badge | Team leader |
| 2 | Operator: how a governed agent decides; human review | 6 | Notes where the agent's summaries left out facts from the file | Ten annotated summaries | Senior caseworker |
| 3 | Operator: teaching the agent; when something goes wrong | 5 | Shadow: drafts own decision on held letters before a colleague releases | Shadow log | Senior caseworker |
| 4 | Operator: usage, keeping knowledge current, running the rhythm | 3 | Shadow continues; first calibration session | Calibration result | Team leader |
| 5 | Written exam | 1 | Practicum begins: decides held letters and visit bookings | Exam result | Pryme assessor |
| 6 | Practicum | 0 extra | Practicum continues on live cases | Practicum log | Pryme assessor |
| 7 | Sign-off | 1 | Reviews marked practicum decisions with team leader | Certified Pryme Operator; internal sign-off | Team leader |
| 8 | First month with approval rights | 0 extra | Approves held letters; team leader samples ten | Sampling record | Team leader |
Decisions that stay with the caseworker
- Any decision that a tenant is not eligible for support, or that support ends.
- Any judgement about risk to a tenant or others, including safeguarding concerns.
- The wording of anything that tells a person what will happen to their tenancy.
The safeguarding point shapes the practicum. An agent summarising case notes may present a worrying remark as one line among many. The caseworker must read the source note, not the summary, whenever risk is possible, and the practicum includes cases built to test this. The agent may draft a letter refusing a request, but the caseworker writes or approves the reason, because it is their judgement the person will challenge.
Calibration keeps a team's decisions consistent between caseworkers; the method is in how to run calibration sessions for caseworkers. People in difficulty sometimes send documents or messages that try to steer whoever reads them, so add the pressure scenarios from how to train caseworkers to spot prompt injection and pressure. Related plans with a similar shape are the training plan for paralegals and the training plan for customer support agents. The team-wide sequence is in training teams for AI agents.
Questions people ask
Can caseworkers start using the agent before week 7?
Yes, at depth 1 and in shadow from week 3. They read its summaries and draft their own decisions, but a certified colleague releases anything the agent prepared.
What if a caseworker disagrees with the agent's summary of a case?
They correct it and record why. Repeated disagreements of the same kind go to the weekly review, because they usually point to a source the agent is missing or misreading.
How is renewal handled?
Renew every 12 months with an update module and a short quiz. Book it before expiry, because a lapsed certificate removes approval rights on the day it lapses.
