AI agent training plan template for patient services teams

A ready-to-copy AI agent training plan for patient services teams: bookings, enquiries, complaints and clinical boundaries, with practicum and renewal.

Patient services coordinators need an AI agent training plan that keeps two things in balance: speed on routine bookings and enquiries, and a firm boundary around anything clinical. This template takes each coordinator from shared vocabulary, through shadow review of the agent's held bookings and replies, to a certified practicum and sign-off, with the red lines that protect patients.

What is this plan for?

Patient services teams handle bookings, cancellations and reschedules, transport and access requests, general enquiries, and the first stage of complaints. An agent can book and reschedule within clinic rules at depth 3, draft replies to enquiries at depth 2, and summarise complaints for a coordinator to route. It should refuse any question that needs clinical judgement and route it to a clinician. Patient data is special-category under GDPR and protected health information under HIPAA in the US.

Coordinators become the reviewers of everything the agent holds. Their risks are specific: approving a routine reschedule for a patient who needed an urgent slot, sending a reply that edges into clinical advice, or sharing information with someone who is not entitled to it. The plan trains each. For the review side in more depth, see how to train the patient services team to review AI agent decisions.

How do you fill it in?

Use one plan per coordinator. Fill the weekly blocks in order and do not start the practicum until the shadow targets are met. Write the red lines with the clinical lead, not alone.

A hypothetical community health provider's patient services team covering physiotherapy, podiatry and dietetics. Values are samples.

  1. Coordinator A; patient services; three outpatient services.
  2. Booking and rescheduling within clinic rules, depth 3; enquiry replies, depth 2; complaint summaries, depth 1.

Red lines

  1. Any reply that answers a question about symptoms, medication or treatment goes to a clinician, even if the agent's draft looks harmless.
  2. Never reschedule a patient flagged urgent by a clinician into a routine slot.
  3. Never share appointment or health details with a caller who is not the patient or a recorded representative.
  4. Complaints that mention harm go to the complaints lead the same day.

Rights: approve bookings and reschedules; send enquiry replies; route complaints.

Certificate: Certified Pryme Operator, valid 12 months; renewal booked for month 11.

Week 3 has the clinical lead as the checker for a reason. Replies to enquiries such as "Is it normal to feel sore after my session?" are where agents and coordinators most often drift into advice. The agent should refuse and route these; when it drafts a reply anyway, the coordinator is the last check. A clinical lead reviewing shadow decisions sets the boundary clearly from the start.

Keep the team consistent with calibration sessions for patient services teams, and see the daily routine in how patient services teams review an AI agent's decisions. The time involved is discussed in how long it takes to train patient services teams to supervise AI agents. A similar front-of-house role is covered in the training plan for student services teams, and team-wide order in training teams for AI agents.

Where the Academy fits

Pryme Intelligence Academy lessons can be listened to as audio, with highlights and notes, so coordinators can learn in short sessions between calls. Module tests are set in healthcare and the coordinator's role. The Operator practicum is signed off by a Pryme assessor, and the certificate can be checked at source.

Questions people ask

Can coordinators book urgent appointments the agent held?

Yes, if the slot and urgency are clear from the clinician's referral. If anything is unclear, the coordinator contacts the clinician rather than guessing.

How do we cover the queue while coordinators train?

Train in pairs, staggered by two weeks, and keep the agent at depth 2 for bookings until at least two coordinators per service are certified.

What if a patient complains about an agent's reply?

Treat it as any complaint, and also send the case to the weekly review. If the reply should have been refused, the agent's brief or bounds need changing.
