Can an AI agent do intercompany reconciliations?

An AI agent can do intercompany reconciliations by matching both sides and explaining differences. Both controllers agree any true-up before posting.

Yes, up to the point of agreeing differences. An AI agent can pull both sides of every intercompany pair, match transactions, explain what does not agree and draft the correcting entries. It cannot settle a difference by booking one side to match the other. Both entity controllers agree each true-up, and that keeps the separation of duties.

What makes intercompany different from other reconciliations?

A bank reconciliation compares your ledger with an outside record. An intercompany reconciliation compares two ledgers inside the same group, each kept by a different team, often in different currencies and on different timetables. Neither side is automatically right. The definition and mechanics are set out in what an intercompany reconciliation is.

That symmetry is the reason the agent must not resolve differences alone. If the agent adjusts entity B to agree with entity A, it has decided A is correct, which is a judgement about two teams' books that belongs to the people accountable for them.

What can the agent do?

The agent can, at depth 1 or 2:

  • read both entities' intercompany accounts and transaction detail;
  • match transactions across the pair, including one-to-many matches;
  • translate both sides into a common currency at the group rate;
  • classify each difference: timing, such as goods or cash in transit; currency, from rates applied on different dates; missing entries on one side; or genuine disputes over amounts;
  • draft a true-up journal for each side, with the evidence attached;
  • send each controller a short summary of what is outstanding and why.

It does not post to either entity's ledger, change the group rate, or mark a pair as agreed.

Who decides, and at what point?

Each pair has two named owners: the controllers of the two entities. For each difference, both must agree the explanation and which side corrects. One entity cannot unilaterally book an adjustment against the other, and the agent cannot act as tie-breaker.

Where they cannot agree, the group accountant decides. That escalation path should be written down before the agent starts, so held items do not sit unresolved until the consolidation deadline.

An illustrative example

Take a group with a parent company, a manufacturing subsidiary and a distribution subsidiary in two other currencies. At month end, the agent reconciles the three pairs.

The parent and manufacturer agree to within rounding. Between the manufacturer and the distributor there is a difference equivalent to 18,000. The agent finds two causes. A shipment invoiced by the manufacturer on the last day of the month was received by the distributor two days later: a timing difference of 15,500 that will reverse. The remaining 2,500 is a currency difference, because the distributor booked the original invoice at the rate on receipt, not the invoice date the group policy requires.

The agent drafts a correcting entry for the distributor for the currency difference and records the timing difference as goods in transit. Both controllers review. The distributor's controller accepts the currency correction and posts it. The timing difference is carried as an explained reconciling item.

What controls make it safe?

Control Evidence it leaves
No posting rights in any entity Agent's role scope on file
Group rate from a sealed source Rate table with load date and approver
Two-sided agreement for every true-up Both controllers' sign-off on each entry
Escalation path for disputes Group accountant's decision recorded
Ageing of unagreed differences Report of items past the set limit
Every verdict filed Append-only record of each match, hold and draft

How does this connect to the rest of the close?

Intercompany reconciliation feeds consolidation. Eliminations are only clean when both sides agree, so the agent's work here determines how much the group controller has to resolve later. The step-by-step method is in how to prepare intercompany reconciliations with an AI agent.

The skills overlap with bank reconciliations: matching, explaining, never forcing a balance. The difference is that here both records belong to you. For firms that hold money for clients, the stricter rules in preparing client money reconciliations apply on top. The wider finance controls sit in AI agents for finance: books you can audit.

Questions people ask

Should the agent reconcile intercompany monthly or continuously?

Continuously, where the data allows. Matching transactions as they are booked means differences are found while the people who booked them still remember why.

Can the agent settle intercompany balances in cash?

No. Settlement moves money between entities, often across borders, and is held for treasury. The agent can prepare the settlement proposal from agreed balances.

What if one entity uses a different accounting system?

The agent can still read both sides if each system gives it a read connection or a scheduled extract. What matters is that the extract comes from the ledger directly, not a spreadsheet someone edited.
