Yes, provided the confirmation is built from the order record, not from the conversation, and goes to the contact details on file. It must not confirm an order held for payment review, and it adds no promises the record does not support. Business purchase orders that differ from your prices or terms are held for a person.
Why does the source of a confirmation matter?
Because a confirmation is evidence of what was agreed. If the agent writes it from memory of a chat, it may state the price the customer mentioned, the delivery date the customer hoped for, or a discount nobody approved. If the customer later relies on it, the business has a dispute about which version is right.
Generating the confirmation from the order system removes that risk. The agent's job is to trigger it, check it went out, and answer questions about it. In many markets, consumers buying at a distance must receive a confirmation with certain information; using the business's approved template is how the agent meets that without improvising.
When should the agent not confirm?
- The order is held, for example by a payment or fraud review. A confirmation would tell the customer the order is going ahead when it may not.
- Stock is not allocated, where the business only confirms once it can fulfil.
- The customer asks to send it somewhere new. Re-sending to a new email address discloses order details to whoever controls that address.
- A business customer's purchase order differs from your prices, quantities or terms. Acknowledging it may accept their terms rather than yours.
What may the agent do, and what stays with a person?
| Situation | The agent | A person |
|---|---|---|
| New consumer order, accepted and paid | Sends the template confirmation from the order record | None |
| Customer asks for the confirmation again | Re-sends to the details on file | None |
| Customer asks for it to go to a new email | Refuses; offers the address-change process | Handles verification |
| Order held for review | Sends a neutral "we've received your order" note, if policy allows | Decides when to confirm |
| Business purchase order matching prices and terms | Sends the acknowledgement | Samples |
| Business purchase order with different prices or terms | Holds | Sales operations decide |
| Replacement for a lost or damaged order | Sends confirmation of the new order | None |
For business orders, the acknowledgement is part of the order-to-cash cycle, and the document the customer sends is their purchase order, which may carry its own terms.
What does this look like at a wholesaler?
Take a wholesale supplier receiving purchase orders by email. The agent reads each one and compares it with the price list, the customer's account terms and stock.
A purchase order for 40 cases at list price, on the customer's normal payment terms, matches on every line. The agent creates the sales order and sends the standard acknowledgement. A second order lists a lower unit price than the price list and states payment at 90 days instead of 30. The agent does not acknowledge it. It holds the order for sales operations with the differences highlighted. Sending the standard acknowledgement could have been read as accepting the customer's price and terms.
Which controls make it safe?
- Confirmations generated only from the order record, using approved templates.
- Sent only to contact details on file.
- No confirmations for held or unaccepted orders.
- Business purchase orders compared line by line before acknowledgement.
- Each confirmation filed with the order version it reflects.
Confirmations sit next to other order actions: cancelling an order, replacing a lost or damaged one, and answering status questions, covered in how to answer order status questions with an AI agent. The wider approach is in the guide to AI customer support agents.
Questions people ask
Can the agent add a delivery estimate to the confirmation?
Only the estimate the order system produces, labelled as an estimate. A booked slot can be stated as a commitment.
What if the confirmation contains an error?
The order record is wrong, or the template is. Fix the source, then send a corrected confirmation that says what changed.
Can the agent confirm orders taken over the phone?
Yes, if the order was entered into the order system. The confirmation then gives the customer a written record to check.
