How do you get into AI operations in accounting practices?

How to get into AI operations in accounting practices: the bookkeeping and tax knowledge that counts, the review skills to add, and where to apply first.

Accounting practices fill AI operations roles from people who already know the client work: bookkeepers, accounts assistants, payroll clerks and junior accountants. You get in by pairing that knowledge with the skill of reviewing an agent's work, such as its transaction coding, reconciliations and client chasers, and by holding a certificate the practice can check. Partners care most that nothing goes to a client unchecked.

What domain knowledge counts most?

The agent can read a bank feed faster than you. It cannot tell, without a source, that a client's director loan should not be coded as an expense, or that a supplier changed its bank details last week. The knowledge that counts is the kind that catches those:

  • Coding and reconciliation. You know what normal looks like for each client and spot the odd entry.
  • Sales tax and payroll cycles. You know which deadlines matter and what goes wrong near them.
  • Client onboarding and anti-money laundering checks. You know which documents prove identity and who the beneficial owners are.
  • Month-end and year-end routines. You know the order of tasks and which ones need a qualified accountant.
  • Client relationships. You know which clients need a phone call rather than a third email.

Where do agents sit in a practice's work?

Task What the agent does Depth Stays with a person
Bank feed coding Suggests codes from past patterns and rules 2, or 3 for routine items within bounds Unusual transactions, director and related-party items
Reconciliations Matches entries and lists the breaks 1 to 2 Deciding how to clear a break
Client chasers Drafts reminders for missing records 2 Tone with difficult clients, deadline escalation
Supplier payment runs Prepares the run from approved invoices Held for approval Approving the run, checking changed bank details
Tax and accounts Assembles workpapers 1 to 2 Treatment, sign-off and advice

A payment run prepared by an agent should never rest on bank details that arrived only by email. That is an external claim, and an external claim cannot authorise a payment. Catching it is a core reviewer skill. For a wider view of the jobs this creates, see what AI agent jobs exist in accounting practices and the new AI operations jobs in accounting practices.

Which skills should you add?

Learn how a governed agent decides: its certified depth and the depth each action needs, the bounds every action must meet, and the four verdicts. Learn to read why an item was held. Learn to correct the agent's sources, such as a client's chart of accounts or a supplier record, so the same mistake does not come back. Finally, practise review decisions to a measured standard. Practices notice the difference between someone who uses an agent and someone who supervises one.

What does a successful move look like?

Take an invented example. A bookkeeper we will call Grace, at a twelve-person practice, volunteered when the firm began using an agent to code bank feeds. She kept a note of every suggestion she overrode and why. After two months she had a clear list: the agent struggled with mixed personal and business card spend for sole traders. She proposed a rule and a source change, and the partner made her responsible for the review queue across all bookkeeping clients.

Her title barely changed. Her job did: she now owns the quality of the agent's work and trains juniors to review it.

Where should you apply?

Start in your own practice; firms adopting agents need reviewers who know their clients. Beyond that, look at outsourced bookkeeping and payroll firms, larger practices with central processing teams, and in-house finance teams in mid-sized businesses. Adverts may say processing lead, client service manager, reviewer or quality lead. Read for review, sign-off, exceptions and client query handling. Questions people ask

Will agents replace bookkeepers in practices?

Agents take over much of the routine coding and matching. The review, the client contact and the judgement on unusual items stay with people, and practices need fewer people doing data entry and more people checking the agent's work.

Do I need an accounting qualification?

Not for review and processing roles. A qualification helps if you want to sign off accounts or give tax advice, which agents do not do.

Is this different in a large firm?

Large firms tend to have central teams and formal review roles; small practices combine review with client work. Both need someone who knows the clients and can supervise the agent.
