How legal secretaries can prepare for the AI operator exam

A twelve-session study plan for legal secretaries preparing for the AI operator exam: Foundations, the Operator modules, module tests and exam pacing.

Twelve sessions of about ninety minutes is enough for most legal secretaries to prepare for the AI operator exam. Three sessions cover Foundations, seven cover the eight Operator modules and their module tests, and two are timed rehearsals. The exam itself is 40 questions in 60 minutes, and 32 correct answers pass.

What are you being examined on?

Not law. The exam covers how a governed agent decides and how a person oversees it: depth, the five bounds of the minimum chain, the four verdicts (allowed, held, refused, withheld), provenance, human review, keeping an agent's knowledge current, and handling something that goes wrong. Your legal background gives you the scenarios; the exam supplies the rules.

You start with one clear advantage. Legal secretaries already work with evidence that has a known source: a sealed order, a signed contract, a client's email, a letter from the other side. The exam's provenance classes (sealed, signed, declared, external) are a formal version of the judgement you make every day.

The twelve-session plan

  1. Sessions 1 to 3, you: Foundations. Six modules, about 4 hours. Earn the free Foundations badge; it is the key to the Operator track.
  2. Session 4, you: how a governed agent decides. Take the module test.
  3. Session 5, you: human review. This is the module closest to your daily work. Take the test and note every miss.
  4. Session 6, you: teaching the agent. Learn that corrections change an agent's brief and sources, not its model.
  5. Session 7, you: reading the workspace. Do the lab in a free Build workspace.
  6. Session 8, you: keeping knowledge current. Think of a changed court rule or a new firm template the agent has not seen.
  7. Session 9, you: when something goes wrong. An agent whose run clears no depth drops to depth 1 the same day; learn what a person does with the backlog.
  8. Session 10, you: usage and billing, and running the rhythm.
  9. Session 11, you: retake weak module tests and a first timed rehearsal of 40 questions in 60 minutes.
  10. Session 12, you: second timed rehearsal. Then book the exam.

How does legal work map to depth?

Use your own matters to fix the levels in memory.

Step The agent does Depth Stays with a person
Reading an incoming order Reads and classifies 1 Nothing, unless the matter is unclear
Drafting a client chaser Drafts and holds 2 Approving recipient and content
Sending routine acknowledgements Sends within bounds 3 Exceptions
Paying completion funds Prepares, held 4, held A named authoriser
Acting on emailed bank details Refused: external claim refused Verification by phone

The exam is likely to test why the last row is refused rather than withheld. Refused means the action is outside this agent's bounds, here because an external claim cannot authorise a payment. Withheld means the platform itself blocks the action for every agent at every depth.

How should you use the module tests?

Module tests are set in your own industry and role, so you will see correspondence, deadlines and client data. After each one, write the question you missed in the margin of your notes as a legal scenario: "Draft letter to client, wrong matter reference; what is the verdict and who acts?" Rehearsing in your own work language makes recall faster on the day.

Legal secretaries are precise readers, which helps. The risk is reading too much into a question. If the scenario does not mention a fee earner's approval, do not assume one.

Which controls should you be able to describe?

  • Held drafts: a letter waits for a named person; the evidence is the approver and time.
  • Provenance tags: a date from a court order is signed, a date from a client email is declared; the evidence is the tag.
  • The firm's own limits: a firm can hold every outgoing letter on a contentious matter; the evidence is the verdict naming that limit.
  • The append-only record: every verdict is filed and cannot be edited, so any decision can be reconstructed.

How should you handle exam day?

Sixty minutes, 40 questions, 90 seconds each. Book a slot outside court deadlines and month-end billing. Read the whole question before the options. On verdict questions, decide which of the five bounds applies before choosing; the wrong answers usually name a plausible but different bound.

What should you measure?

Module test scores on first and second attempts. Rehearsal scores and finishing times. If you are finishing with less than five minutes to spare, practise reading the scenario once, not twice.

Keep a short list of the terms you mixed up, with your own legal example beside each: held and refused, declared and external, depth 2 and depth 3. Legal secretaries tend to be precise once a term is pinned to a familiar document. A sealed court order, a client's email and a letter from the other side make good anchors for the provenance classes.

Where does preparation usually go wrong?

Long gaps between sessions. Twelve sessions over three weeks hold together; twelve sessions over three months do not. Book them in your diary like client appointments.

Forgetting the other half. The practicum is two weeks of review decisions, nineteen in twenty correct and no missed red line. Read how legal secretaries complete the practicum before session 9, so the "when something goes wrong" module lands with real cases in mind. Procurement officers follow a similar plan for contracts in how procurement officers prepare for the exam.

Questions people ask

Can I study during a commute?

Yes. Lessons can be read or listened to as audio, with highlights and notes. Keep the labs and timed rehearsals for a desk.

Will passing make me eligible for paralegal work?

No. The certificate shows you can oversee governed agents; it is not a legal qualification or a government licence. It can strengthen an application for legal operations or review roles, which you can explore in the guides for legal secretaries in Australia and Singapore.

How do I explain this preparation to a hiring partner?

Describe what the exam covered and give one example from your work of a held draft you would catch. The interview answers for legal secretaries show phrasing, and the AI operator certification guide explains what the full certificate proves.
