About six weeks for most HR teams. HR advisers need roughly 18 hours of learning, then two weeks of supervised decisions on live employee queries, letters and case notes, and a final exam and sign-off. What takes care is drawing the line between a policy answer an agent can send and a conversation a person must have.
Where the line falls in HR
An HR agent can answer a large share of routine questions: holiday entitlement, how to claim expenses, where the parental leave policy lives, what the notice period is. It can also draft standard letters and summarise case notes. Those tasks are high in volume and low in risk once the agent's sources are right.
Other questions look routine and are not. "How much sick leave do I have left?" may come from someone who is seriously ill. "What is the grievance process?" may come from someone about to raise one against their manager. The HR adviser's main new skill is spotting those moments in a held draft, or in the agent's record of replies it sent alone.
How the weeks split
| Week | Stage | HR-specific focus |
|---|---|---|
| 1 | Foundations, about 4 hours | Depth, the decision chain, ownership, data and trust |
| 1 to 4 | Operator learning, about 14 hours | Human review, teaching the agent, keeping policy knowledge current |
| 4 to 6 | Supervised live review | Held replies, draft letters and case summaries, each checked |
| 6 | Exam and sign-off | Written exam and sign-off on review decisions |
Keeping knowledge current matters more in HR than in many roles. When a policy changes, the agent must stop citing the old version the same day.
What the agent does and what stays with the adviser
The agent reads policies, the employee's own record and the query at depth 1. It drafts answers, letters and case summaries at depth 2. Where it has earned depth 3, it sends answers to routine policy questions that match a current, approved source.
Stays with the HR adviser:
- Anything touching health, disability, pregnancy or a protected characteristic.
- Disciplinary, grievance and capability matters.
- Pay disputes and contract changes.
- Dismissal and redundancy, at every stage.
- Any reply to someone who appears distressed.
Employee records hold personal data, much of it special-category under GDPR where health is involved. Advisers should also understand that a decision based solely on automated processing with significant effects on a person is restricted under GDPR Article 22. In HR, that line is crossed easily if an agent's draft becomes the decision without a real review.
An illustrative example
Take a retailer's HR service centre with eight advisers and an agent answering employee queries by chat and email. Foundations runs in week one. Operator learning takes three weeks at about five hours a week, with one afternoon protected.
From week four, every held reply and draft letter is checked by a senior adviser. Calibration on the same twenty queries, run as in calibration sessions for HR advisers, finds the agent answered "how do I resign?" questions with the standard notice process at depth 3, and nobody had flagged it. Three of those employees had open grievances. The team adds resignation questions to the always-held list.
Employees and managers sometimes push for fast or favourable answers, and documents submitted to HR can carry instructions aimed at the agent. See training HR advisers to spot prompt injection and pressure.
How HR compares with similar roles
Wealth advisers face similar judgement about people but with financial suitability on top; see how long it takes to train wealth advisers. Underwriters handle fewer, more technical decisions; compare the underwriter timeline. The wider programme is in training teams for AI agents.
Where the Academy fits
HR advisers who review the agent's replies every day fit the Operator track of Pryme Intelligence Academy, whose module tests are set in the learner's own industry and role. The track includes keeping knowledge current, which is where HR teams most often fall behind. Certificates are issued through VerifyDoc.ai and can be checked at source by number or QR code.
Questions people ask
Should line managers get the same training?
Line managers who receive the agent's drafted letters need Foundations so they understand what the agent did and did not decide. They do not need to sit the Operator path unless they approve held actions.
How do you keep the agent from citing an old policy?
Make policy owners responsible for updating the agent's sources on the day a policy changes, and have advisers sample replies that cite that policy for the following week.
Can the agent tell employees it is an AI?
It should. Under the EU AI Act, people must be told when they interact with an AI system, and most employers adopt that practice everywhere.
