How to become an AI operations manager in Australia

How to become an AI operations manager in Australia: what the role runs, how APRA CPS 230 and privacy law shape it, the skills and a 90-day plan.

An AI operations manager in Australia runs the team and the rhythm around a business's AI agents: staffing the review queue, controlling who may approve what, handling incidents and reporting to risk. You get there from team leadership in insurance, banking, superannuation or utilities, plus a clear grasp of APRA CPS 230 and a certificate employers can check.

What does operations management look like in Australia today?

Australian operations managers already carry heavy accountability. Insurers, banks and super funds must show APRA that critical operations can survive disruption and that service providers are managed properly. Energy retailers and telcos face conduct scrutiny from regulators and ombudsmen. Managers run teams across states and time zones, often with some work offshore, and report against service levels and customer outcomes.

Agents add a new kind of team member. They work fast, never tire and do exactly what their bounds allow. An AI operations manager runs the people who review them, the controls that keep them in bounds, and the routine that keeps both healthy. It is a management role first and a technical role second.

What changes when agents join the operation?

At an invented general insurer's home and motor claims operation, agents might:

  • Triage new claims (depth 1). Read the claim and policy, sort by urgency and completeness.
  • Draft customer updates (depth 2). Sent by a claims officer after a check.
  • Book assessors and repairers (depth 3). Routine, reversible and within the insurer's limits.
  • Prepare settlements (depth 4). Held for a named person with authority to pay.

The manager's work changes with them. You staff the held queue so it clears within service levels, especially after storms when it surges. You decide which people hold approval rights for depth 4 actions; some businesses make those rights depend on a current certificate. You watch usage against plan. You run the weekly review of held and refused patterns with the agent owner. And when a certification run clears no depth, the agent drops to depth 1 the same day, so you need a plan to absorb that work.

Which AI operations management roles are open?

Australian titles include "operations manager", "claims operations manager", "service delivery manager", "head of operations excellence" and "AI operations lead". Read the duties rather than the title: team leadership, queue management, approvals, quality, incident handling, reporting and supplier oversight.

What an AI operations manager does describes the week in detail, and what an AI operations manager is explains how it differs from a traditional operations manager. The wider family of roles is in AI agent jobs and careers.

This is not usually an entry role. Most people get there after leading a team, or after a year or two as an AI operations analyst. If you come from office or practice management, the route through an analyst role for former office managers is a good first step.

What do employers look for, and how do you show it?

What they look for How to show it
Leading a team to service levels Team size, service levels met, how you handled a surge
Control discipline Approval limits you set or enforced, and how you checked them
Incident handling A time something went wrong, what you did in the first hour, what changed
Commercial sense A budget or usage figure you managed and a decision it led to
Checkable skill in agent operations A professional certificate an employer can verify by number

Australian résumés for management roles are usually two to three pages and achievement-led. The AI operations manager CV template shows how to present agent operations alongside traditional leadership.

Which rules shape oversight work in Australia?

APRA supervises banks, insurers and superannuation trustees. CPS 230, its prudential standard on operational risk management, asks regulated entities to manage operational risk, maintain critical operations within tolerance through disruption, and manage material service providers. For an AI operations manager that means knowing which agent-supported processes are critical, what happens if an agent drops to depth 1, and how the model provider behind the agent is overseen.

ASIC oversees conduct and consumer protection in financial services. The OAIC enforces the Privacy Act 1988, which governs how personal information is collected, used, disclosed and secured. The government has published a voluntary AI safety standard; there is no AI-specific law in force.

This is an explanation of the rules, not legal advice; confirm how they apply to you with counsel.

A 90-day plan to get hired

Days 1 to 30. Learn the vocabulary: depth, the minimum chain, the four verdicts, certification and lapse. Map one process you manage today: which steps an agent could do, at what depth, and who would approve.

Days 31 to 60. Earn a certificate that covers running a live workspace, including review, usage and incidents. Write a one-page continuity plan for what your team does if an agent drops to depth 1.

Days 61 to 90. Apply internally first. Many Australian employers appoint AI operations managers from existing operations leaders. Then apply externally by duties. How you become an AI operations manager covers each step.

Where the Academy fits

Certified Pryme Operator from Pryme Intelligence Academy covers what this job runs: human review, reading the workspace, usage and billing, incidents and running the rhythm. It ends with an exam and a two-week practicum signed off by an assessor. Managers of regulated, multi-agent deployments may later take the Architect track. Certificates are checkable through VerifyDoc.ai.

Questions people ask

Do I need technical skills to manage agents?

You need to understand what agents may do and how they are certified, not how to build them. A builder or agent owner handles design; you run the operation.

Is the certificate an Australian qualification?

No. It is a professional certificate from a private body, not a government qualification or licence. Employers can check it at source.

How is this different from a contact centre manager?

The leadership skills are similar. The difference is that part of your workforce is agents, so you also manage their bounds, certificates, usage and incidents.
