A good reference for an AI operations role does more than confirm your dates. It tells a hiring manager what kinds of decisions you made, how your work was checked, and whether you held the line on risky cases. This template asks a former manager to speak to exactly that, with a short email and a briefing note.
What is a reference request for, and when should you send it?
Hiring managers for reviewer, operator and AI operations roles want to know one thing above all: will this person make the right call on the cases an agent cannot settle alone? Your interview answers make that case. A reference confirms it from someone who watched you work.
Send the request before you give a referee's name to an employer, ideally when you start applying, not when an offer is pending. It gives your referee time to agree, to remember examples and to check what their employer allows. Some organisations only let managers confirm job titles and dates. If so, ask whether they can give a personal reference instead, or choose a different referee such as a former team leader or quality lead.
Choose people who saw your decisions. A team leader who sampled your work is a better referee for review roles than a senior manager who only knew your name. If you are still building connections in the field, how to network into AI operations roles covers that side. The skills a referee should speak to are the ones in what employers will ask you to prove about AI skills.
How do you fill it in?
- Ask permission first, in a short, friendly email. Do not attach the briefing note until they agree.
- Name the role type, so they understand what the employer is looking for.
- Remind them of specific work, not general praise. Two or three decisions they would remember.
- Be accurate. Do not ask them to confirm anything they did not see, including figures.
- Keep it short. Your referee is busy; a one-page note is enough.
- Separate certificates from the reference. Any certificate you hold can be checked at source by the employer. Your referee does not need to vouch for it.
The template
Part one: the request email
Subject: Would you be willing to act as a referee?
Dear [name],
I hope you are well. I am applying for roles in [AI operations / agent review / operations quality], where the work is deciding the cases an AI agent holds for a person: [approvals, exceptions, escalations] in [industry].
Would you be willing to act as a referee? You saw my work on [case type] at [organisation], and I think you could speak to how I made those decisions. If your organisation only allows confirmation of dates and title, I completely understand.
If you agree, I will send a one-page note with reminders of the work and the roles I am applying for.
With thanks, [your name]
Part two: the briefing note (fields)
- Your name, role and dates at the organisation.
- The roles you are applying for, and what they involve in one sentence.
- The decisions you made: case types, and your approval authority.
- How your work was checked: sampling, calibration, second review.
- Two or three specific examples they may remember: a case you held, changed or escalated, and why.
- One red line you held consistently.
- What hiring managers in this field tend to ask referees: accuracy, judgement under pressure, willingness to escalate.
- Any certificates, with a note that the employer can check them directly.
A worked example
Sample values only. Kofi, an invented candidate, spent three years in a payments operations team and is applying for agent reviewer roles.
Briefing note, filled in:
- Kofi Mensah, payments operations analyst, three years.
- Agent reviewer roles in payments: deciding transfers and refunds an agent holds for a person.
- Decided flagged transfers and refund requests; could release up to the team limit; higher amounts went to the senior analyst.
- Work sampled weekly by the quality lead and calibrated monthly with the team.
- Examples you may remember: the refund I held because the receiving account had been changed the day before; the batch of transfers I escalated when the payee names did not match.
- Never released a payment to new details that arrived by email.
- Employers will likely ask about my accuracy, how I handled pressure at month end, and whether I escalated appropriately.
- Certified Pryme Operator; the employer can check it by number or QR code through VerifyDoc.ai.
Roles that lean heavily on references include those in payments operations that need AI agent training and in insurance roles that need AI agent training, where review judgement is central. The employer's side of the process is described in how to hire for AI operations roles, which helps you see what the reference is meant to confirm.
Questions people ask
Can I draft the reference for my manager?
Offer the briefing note, not a finished reference. A referee should write in their own words; a reference that reads as written by the candidate carries less weight and some employers will notice.
What if my old manager has left the organisation?
You can still ask them for a personal reference about your work. Tell the hiring employer that they managed you but have since moved on, so the context is clear.
How many referees do I need?
Usually two. For AI operations roles, try to make at least one of them someone who checked your decisions directly, such as a team leader or quality lead.
