A good renewal reminder tells the person four things in the first three lines: which certificate expires, on what date, which approval rights depend on it, and what renewal takes. Below are five ready-to-copy emails (60, 30 and 7 days before expiry, a lapse notice and a renewal confirmation), with fields to fill in and a worked example.
Why do reminders need to be specific?
Generic reminders get ignored. "Your certification is due for renewal" competes with every other compliance email. "On 30 April you will no longer be able to release held refunds above 1,000 unless you renew" gets read, because it names the part of the job that stops.
Certificates for people who work with agents expire for a reason: the product changes, the agents' bounds change, and skills fade. The reasoning is in why certificates for AI agent skills should expire. People's certificates typically last 12 or 24 months. Do not confuse them with an agent's own certificate, which lapses after 90 days; these emails are about people.
When should each email go?
- 60 days before: the first notice, with what renewal involves and how long it takes.
- 30 days before: a reminder to the person, copied to their manager.
- 7 days before: a final reminder, copied to the manager and the register owner, stating what happens on lapse.
- On lapse: confirmation that rights are suspended and who covers.
- On renewal: confirmation that rights are restored, with the new expiry.
How do you fill in the fields?
Use the person's actual approval rights, not a general description. Name the renewal steps exactly: if renewal is a short renewal quiz after an update module, say so and give a realistic time. Point to where the certificate can be checked, so the person knows their status is visible at source.

A worked example
Take a sample insurer's claims team. Values are illustrative. Email 2 to a claims handler reads:
``` Subject: 30 days left: renew your Certified Pryme Operator certificate to keep settlement approvals
Hello Priya,
Your Certified Pryme Operator certificate expires on 31 May. You have not yet started renewal.
If it lapses, your right to release held settlement offers up to 2,500 will be suspended on 31 May, and held offers will route to Tom Ellis.
Please book time to complete the update module and the short quiz in the next two weeks. Ana Costa is copied so she can make room in the rota. ```
The register owner then checks the certificate number on the issuer's page after renewal, as they would for any approver, including contractors; see how to verify the certificates of contractors who review AI agents.
Where the Academy fits
Pryme Intelligence Academy issues certificates through VerifyDoc.ai, and its public register lists certified people by name, credential and expiry; a lapsed certificate shows as such on the same page. Renewing Certified Pryme Operator is an update module and a short quiz, and the admin view shows expiry dates for the team, which is where the send dates come from. Why the original certificate needed a practicum is in why AI agent certificates need a practical part; the wider guide is AI literacy and certification for people who work with agents.
Questions people ask
Should reminders come from a person or a system?
Either, but the 7-day email and the lapse notice should name a person the recipient can reply to. People respond to a name.
Should the manager be copied from the first email?
Not on the 60-day notice. Give the person a chance to renew on their own, and bring the manager in at 30 days.
What if someone renews early?
Send the confirmation straight away and cancel the remaining reminders. Check whether the new expiry runs from the renewal date or the old expiry date, and state it.
