For a former accounts payable clerk, the reviewer job looks like the hardest tenth of your old work, all day. An agent matches invoices to orders and receipts, codes them and prepares payment runs. You decide what it holds: mismatches, invoices from new suppliers, bank detail changes and anything over a limit, with a short reason for each decision.
What is in the queue when you log on?
In an accounting practice running payables for several clients, the payables agent works overnight. By morning it has matched and coded most invoices at depth 3 within each client's limits. What it holds lands with you:
- Three-way match failures: the invoice says 120 units, the order says 100, the goods received note says 110.
- Price differences above the client's tolerance.
- New suppliers with no history.
- Duplicate suspicions: same amount, same supplier, slightly different invoice number.
- Bank detail changes, almost always arriving by email.
- Invoices over the approval limit for the client.
Each item comes with the agent's draft, its sources and the reason it was held.
Which decisions are yours, and which are not?
| Item | Your decision | What you escalate |
|---|---|---|
| Quantity or price mismatch within your authority | Approve the matched part, query the rest | Disputes above your limit |
| Possible duplicate | Confirm or reject | Patterns suggesting fraud |
| New supplier invoice | Check the supplier was set up properly | Suppliers set up outside the process |
| Bank detail change | Never approve from an email | Every one, to the person who verifies by phone |
| Invoice over the client's limit | Prepare it | Approval by the client's named approver |
Paying a supplier is moving money, depth 4 work. Most practices keep a person approving the payment run itself. The bank detail rule matters most: an emailed request is external, and an external claim cannot authorise a payment.
What does a morning look like?
Take a reviewer we will call Sunita, who spent six years in accounts payable before moving to a practice's AI operations team. Her queue holds forty items across eight clients. Twenty-five are price differences of a few pence on unit rates, which she clears in batches after checking the clients' tolerance. Ten are duplicates; seven are real duplicates and three are legitimate repeat orders.
Then a supplier's email asks one client to update bank details "due to a change of bank". The agent refused to act and held it. Sunita finds the email domain differs by one letter from the supplier's real domain. She marks it as attempted fraud and alerts the client. That decision took her two minutes and saved the client a payment it would never have recovered.
What goes into the record?
Every verdict is filed in an append-only record: the agent's draft, the sources, your decision and your reason. A good reason is short and specific: "Approved: price rise agreed in the client's email to supplier on file." A poor one is "OK". The analyst reads these to improve the agent, and auditors read them to see who approved what.
What carries over from accounts payable, and what is new?
Carries over: three-way matching, an eye for duplicates, supplier knowledge and a deep suspicion of bank detail changes. Those instincts are exactly what the agent lacks.
New: you no longer key or match routine invoices. You read the agent's work and judge it. You write reasons for every decision, not just for the odd query. You work across several clients' limits at once. And you notice patterns, such as a supplier whose invoices are always held, and report them so the agent's rules can change.
Moving from accounts payable clerk to AI agent reviewer covers how to make the move, and the cover letter for an accounts payable clerk applying for AI operations jobs helps you present it. Where the Academy fits
Pryme Intelligence Academy's Operator track trains this exact queue work. If your employer does not use Pryme, you can do the two-week practicum on a simulated queue in a free workspace, marked to nineteen in twenty correct with no missed red line. The certificate is issued through VerifyDoc.ai, so a practice can check it at source before giving you approval rights.
Questions people ask
Is the reviewer job more senior than accounts payable?
It often handles harder decisions and more clients, so it can be. Titles and grades vary between employers. Read the duties rather than the title.
Will I still deal with suppliers?
Sometimes, for queries and disputes. Much routine supplier contact is drafted by the agent, but escalations often still need a person.
Can I move on from reviewing?
Yes. Former AP clerks often move into AI operations analyst work, reading patterns across the record; becoming an AI operations analyst as a former accounts payable clerk explains how.
