What is accounts receivable?

Accounts receivable is the money customers owe a business for goods or services already delivered. How AR works, and where AI agents help and must stop.

Accounts receivable (AR) is the money a business is owed by its customers for goods or services it has delivered but not yet been paid for, recorded as an asset. It also names the process of invoicing and collecting. AI agents can do much of the matching and chasing, within limits on what they say and settle.

Why does accounts receivable matter once agents act?

AR work has two halves. One is bookkeeping: raising invoices, matching incoming payments to them and keeping the ledger accurate. The other is customer contact: reminding, chasing and agreeing payment terms. Agents are well suited to the first and useful in the second.

The risks sit in the second. An agent chasing overdue invoices speaks for the firm. If it threatens action the firm would not take, agrees a discount nobody approved or pressures a customer in difficulty, the firm owns that. And in consumer credit, how debts are chased is regulated. The agent's bounds must set what it may offer, and every message it sends must be on record.

How does accounts receivable work in practice?

The typical cycle is:

  1. Invoice: raise the invoice when goods or services are delivered.
  2. Remind: send reminders before and after the due date.
  3. Apply cash: match each payment received to the invoices it settles.
  4. Chase: follow up overdue amounts, escalating as policy sets.
  5. Resolve: agree payment plans, raise credit notes for disputes, or refer for recovery.
  6. Report: age the ledger and estimate what may not be collected.

Agents help most in reminding, applying cash and drafting chasers. Agreeing plans outside set terms, issuing credit notes and writing off debts stay with people.

An example from a business services firm

Take a business services firm whose AR agent applies incoming payments each morning. One payment arrives for an amount that matches no single invoice. The agent finds that it equals two invoices minus a small amount, and that the customer previously queried a charge on one of them.

It proposes applying the payment to both invoices and flags the shortfall as a likely dispute, attaching the earlier query. A credit controller confirms, contacts the customer and agrees a credit note. The agent drafted the match; the controller decided the dispute. The AR ledger then feeds the variance commentary for management accounts.

How is accounts receivable different from revenue?

Revenue is recognised when the business earns it, under the applicable accounting rules, usually when goods or services are delivered. Accounts receivable is the portion of that revenue not yet paid in cash.

The difference matters because they can diverge. A business can report strong revenue while its receivables grow and its cash shrinks. An agent that drafts finance commentary needs to keep the two apart: a rise in sales is not a rise in cash, and an increase in overdue receivables is a warning even when revenue looks healthy.

Which terms sit next to accounts receivable?

  • Accounts payable: the mirror image, what the business owes.
  • Ageing: grouping receivables by how overdue they are.
  • Bad debt provision: an estimate of receivables that will not be collected.
  • Receivables sit in their own accounts in the chart of accounts, and roll up into management accounts.

Where Pryme fits

In Pryme, a payment visible in the bank feed is sealed; a customer's email saying "we've paid" is declared. The AR agent applies cash only from sealed records. Chasing messages are drafted at depth 2, and every one is filed, in line with AI agents for finance: books you can audit.

Questions people ask

Can an agent agree a payment plan with a customer?

Within terms the firm has set in advance, such as a maximum number of instalments, it can be certified to. Anything outside those terms is held for a credit controller.

Should an agent send chasers to customers in consumer credit?

Only within the rules that apply to collecting consumer debts in that market, with approved wording, and with any sign of financial difficulty handed to a person.
