What is a bank reconciliation?

A bank reconciliation matches the bank statement to the cash ledger and explains each difference. What it involves when an AI agent prepares it.

A bank reconciliation is the check that the cash balance in your books agrees with the balance the bank reports, with every difference listed and explained. Timing items such as uncleared payments are noted; errors and unknown items are investigated and corrected. Once AI agents match or post transactions, it is the plainest proof their work is right.

Why does a bank reconciliation matter once agents act?

The bank statement is one of the few records a finance agent cannot write to. The bank issues it, so it is the strongest independent evidence a team has about what cash actually moved. If an agent matches receipts, codes card spend or drafts journals, the bank reconciliation is where its work meets a fact it did not produce.

That makes it the natural daily test of a finance agent. A reconciliation that clears cleanly says the matching is sound. A growing pile of unreconciled items says something upstream is wrong, long before it reaches the reported numbers. The wider case for treating this as the core control is in AI agents for finance: books you can audit and reconciliation is where finance agents earn trust.

How does a bank reconciliation work in practice?

  1. Take the closing balance per the bank statement and per the cash account in the ledger, at the same date.
  2. Match statement lines to ledger entries by amount, date, reference and counterparty.
  3. List timing differences: payments issued but not yet cleared, deposits recorded but not yet credited.
  4. Investigate the rest: unbooked bank charges, duplicated entries, receipts posted to the wrong account.
  5. Book the corrections, then show that the adjusted bank balance equals the adjusted book balance.
  6. A second person reviews and signs off.

An agent can do the matching in steps 2 and 3 as routine work within agreed tolerances. Correcting journals are drafted for a person to post, and sign-off stays with a person. A bank reconciliation template sets out the fields a reviewer expects to see.

What does that look like in an example?

Take a distribution business with one operating account. At month end the bank shows 419,000 and the ledger shows 409,500. The agent matches all but twenty lines. Fourteen are supplier payments issued in the last two days that have not cleared, totalling 6,000. Five are bank charges of 500 in total, not yet booked. One is a receipt of 4,000 that the agent cannot tie to any customer.

The agent drafts a journal for the charges and a second one parking the receipt in a suspense account with a note, rather than guessing who paid. Adjusted bank and adjusted book both come to 413,000. The reviewer sees which items were matched by rule and which two need a decision.

How is a bank reconciliation different from cash application?

Both start from the same bank lines, which is why they get confused. Cash application decides which customer invoices a receipt pays and clears them in receivables. A bank reconciliation does not care which invoice was paid; it asks whether the cash ledger agrees with the bank, in total and line by line. An agent can apply cash perfectly and still leave the bank unreconciled if a receipt was booked to the wrong bank account.

A bank reconciliation is also one instance of reconciliation in general, which covers any two records that should agree. It differs from an intercompany reconciliation, where both records belong to your own group and neither is independent.

Questions people ask

How often should a bank reconciliation be done?

Monthly is the minimum for most businesses, as part of the close. Busy accounts benefit from daily reconciliation, which an agent makes practical because matching runs as statement lines arrive.

Can an AI agent sign off a bank reconciliation?

It should not. The agent prepares the reconciliation and explains each open item; a named person reviews and signs. Sign-off is the control that catches an agent confidently matching the wrong lines, so it has to sit with someone independent of the preparation.
