Training teams for AI agents·Definition

What is a learning record?

A learning record is one person's history of training, results and credentials. What it must show when that person approves AI agent actions.

A learning record is the history of one person's learning: courses taken, dates, assessment results, credentials earned and when each expires. For people who approve AI agent actions, the learning record is evidence: it shows whether the person was qualified on the day they made a given decision.

Why does a learning record matter for agent oversight?

Every decision a reviewer makes on a held action is filed in the agent's append-only record, with their name and the time. When an auditor or supervisor looks at a decision, the next question is often whether that person was competent to make it.

The learning record answers that question, but only if it is precise. "Completed AI training" with no date or result does not help. A record that shows the credential, the assessment and the expiry date does.

What should a learning record contain?

For someone who reviews or owns agents, a useful record has these fields:

  1. Courses and modules, with completion dates.
  2. Assessment results, by concept where possible, not just pass or fail.
  3. Assessed practice, such as supervised live review, with who signed it off.
  4. Credentials, each with its number, issuer and a way to check it.
  5. Validity, the issue and expiry dates of each credential, and past ones kept after renewal.
  6. Role link, which agents and types of held action the person is qualified to decide.

What does a learning record look like in practice?

Take an accounts payable team where a reviewer approved a supplier payment that later proved to be fraudulent. The internal investigation pulls the decision from the agent's record: approved at depth 2, held because of the customer's own limit, payee details from a signed supplier record. It then pulls the reviewer's learning record: reviewer credential current, issued eight months earlier, assessment scores strong on provenance.

The record shows the reviewer was qualified and followed the checks. The investigation moves to how the supplier record itself was changed.

How is a learning record different from a training record?

The terms overlap. A training record is often narrower: the courses an employer required and whether each was completed, kept for compliance. A learning record is broader: it can include self-directed learning, assessed practice, credentials from outside bodies and learning credits. For agent oversight, the fields that matter most, assessment and credential expiry, need to be in whichever one the business uses.

A learning record also differs from the agent's decision record. One describes the person; the other describes what the agent did and who decided. Reading the decision record well is a separate skill, covered in how to train staff to read an agent's decision record.

Where the Academy fits

Pryme Intelligence Academy certificates are issued through VerifyDoc.ai and can be checked by number or QR code. A lapsed or revoked certificate shows as such on the same page, and a public register lists certified people by name, credential and expiry. A learning record can link to that check rather than copy it.

Questions people ask

How long should a learning record be kept?

At least as long as the decisions the person made remain in scope for audit or dispute. That is usually longer than their employment.

Can people see their own learning record?

They should. People who can see their expiry dates renew on time, and can correct errors before an auditor finds them.
