Why office managers make strong AI agent reviewers

Office managers already approve spending, spot fake invoices and know how the business runs. Here is why that suits AI agent review and what to add.

Office managers are the people who know how a business actually runs: who approves what, which suppliers are real. That makes you a natural reviewer of AI agents, which need someone who knows the rules behind the rules. What you add is a precise grasp of agent authority and a narrower, more disciplined way of working.

What does an office manager already approve?

More than most job titles suggest. In a small or mid-sized professional services firm, the office manager often signs off supplier invoices up to a limit, approves stationery and facilities spend, books travel within policy, sets up new starters with equipment and access, and handles the awkward request that does not fit any policy at all.

Every one of those is an approval decision with a limit attached. Agent review is built on the same idea. An agent may act only within bounds, and anything above them is held for a named person. You have been that named person for years, usually without a system that recorded why you said yes.

Where do office tasks meet agents?

The repetitive administrative work is the first to move to agents. A typical split looks like this:

  • Supplier invoices. The agent reads the invoice, matches it to an order and drafts the coding at depth 2. Payment is depth 4, money movement, and is held for a person unless the capability has been certified and the firm's own limits allow it.
  • Facilities and room requests. The agent books rooms and logs repair requests at depth 3. A person decides on spend above a set amount.
  • Travel bookings. The agent drafts itineraries within policy at depth 2; a person approves exceptions such as a later flight or a pricier hotel.
  • New starter set-up. The agent drafts the checklist and requests equipment. Access to systems is held until a manager confirms the start.

Look at what remains: approvals, exceptions and anything involving money or access. That is the office manager's existing territory.

Why is the fake invoice the best example?

Because office managers have usually seen one. An email arrives from a familiar supplier with new bank details and a polite request to update records before the next payment. You phone the supplier on the number you already hold, and the supplier knows nothing about it.

Governed agents make that instinct a rule. Under the Pryme Context Protocol every fact is stamped with its provenance. An invoice that arrives by email is external: it came from outside and nobody has vouched for it. An external claim cannot authorise a payment. So an agent cannot change a supplier's bank details, or pay to new ones, on the strength of an email. It holds the item for a person, and that person needs exactly the suspicion you already have.

What do office managers have to add?

A narrower lane. Office managers do a bit of everything, and fix problems wherever they find them. Review roles ask you to decide the item in front of you, record why and pass on what is not yours. Fixing the agent's sources or brief is someone else's task; your job is to give them a clear reason to act on.

The difference between refused and withheld. A business narrows what an agent may do through its own limits, and actions outside those are refused or held. Withheld is different: the platform refuses that action for every agent at every depth. You will be asked to change limits; you cannot change a withheld action, and you should understand why.

Separation of duties. In a small office you may have raised the order, approved the invoice and paid it. With agents, the record shows every step and every name. A careful employer will not want the same person setting an agent's limits and approving the exceptions those limits create.

Reading the workspace. Queue size, items held too long, agents whose certificates are close to lapsing. Agent certificates lapse after 90 days, and a run that clears no depth drops the agent to depth 1 the same day. You need to see that coming.

What is the trade-off for an office manager?

Variety. Many office managers enjoy the job because no two days are alike. Review work has more structure, and some days are mostly queue. In return you get clearer ownership and a record of your judgement that can travel with you.

There is also a seniority question. Office managers often lead people. Pure reviewer roles may feel like a step sideways. The better fit is often a lead role: running the review rhythm, deciding coverage and owning the limits, which is closer to what a practice manager does in healthcare. That comparison is set out in why practice managers make strong AI agent reviewers.

How do you take the next step?

Titles vary: operations manager, business support lead, AI operations lead or workplace operations. Read the duties for review, exceptions, approvals, quality and escalation. Questions people ask

Do office managers need technical skills to oversee agents?

No. You need to read what an agent did, why it was allowed and what it used. That is closer to auditing an expense claim than to configuring software.

What if my firm is too small to use agents?

Then start with the free lessons and labs, which run in a free Build workspace, so you can learn the work before your employer adopts it. You will be ready to shape how it is set up.

Should an office manager go straight to the senior tracks?

Usually not. Learn review first. You cannot set sensible limits for an agent until you have seen, from the queue, what happens when the limits are wrong.
