Training teams for AI agents·Template

AI agent training plan template for contact centre managers

A 90-day AI agent training plan for contact centre managers: their own certification, the team's, running the rhythm of held work, sign-off and renewal.

A contact centre manager's AI agent training plan runs over about 90 days in three parts: certify yourself as an operator, certify the team leads and reviewers who decide held items, then run the rhythm of rotas, response targets, calibration and certificate expiry. Each month has named outputs, and the plan closes with sign-off and a renewal date.

What is this plan for?

A contact centre manager does not decide many held items personally. They make sure there is always a certified person to decide them, that held items move within target, that the team decides consistently, and that nobody's certificate lapses unnoticed. That is a different skill from reviewing, and most training plans miss it.

Agents in a contact centre typically draft replies at depth 2, complete routine account updates at depth 3, and hold refunds, compensation and anything involving identity changes. Volumes are high and shifts long. A manager who understands the agent only from a demo will staff the queue wrongly. The time this usually takes is answered in how long it takes to train contact centre managers to supervise AI agents.

How do you fill it in?

List outputs, not activities. "Rota with certified cover for every shift" is an output; "work on the rota" is not. Fill in the owner column with the manager or a named deputy, and the evidence column with something another person could check.

A worked example

A hypothetical utility's contact centre of 120 advisers and 12 team leads, launching a reply-drafting and account-update agent. Values are samples.

Month Manager's own learning Team outputs Rhythm outputs Evidence Owner
Month 1 Foundations; Operator modules on human review and reading the workspace All 12 team leads complete Foundations; 6 start Operator Response targets set by held-item class and time of day Targets document; team progress in the admin view Manager
Month 2 Operator modules on usage and billing and running the rhythm; written exam 6 team leads in practicum; 20 reviewers in shadow Rota with two certified people per queue per shift from week 6 Rota; practicum progress Manager and deputy
Month 3 Two-week practicum on held refunds and compensation 12 team leads certified; 20 reviewers in practicum Fortnightly calibration started; certificate expiry register live Calibration results; register Manager
Sign-off Certified Pryme Operator; signed off by head of customer operations Agent cleared for depth 3 on account updates only after reviewer certification First weekly review held on the record Sign-off note Head of customer operations
Renewal Update module and quiz in month 11 Staggered renewals so no queue loses all certified people at once Register flags expiries 60 days ahead Renewed certificates Manager

Two choices in the example are worth copying. The manager sits the practicum on refunds and compensation, the highest-risk held items, rather than routine replies, because those are the items they will be called about. And renewals are staggered: if all 12 team leads certified in the same month, they would all expire in the same month, and the centre would lose its approvers at once.

The rhythm outputs are where managers add most. Response targets prevent held items piling up into pressure to approve in bulk. The rota keeps certified cover on every shift, including evenings, when fraud attempts tend to arrive. Calibration keeps 120 advisers deciding alike. Use how to run calibration sessions for contact centre managers for the method and how to train the contact centre to review AI agent decisions for the reviewer side. Managers who also own operational risk can compare the training plan for risk managers and the training plan for operations managers. The team-wide sequence is in training teams for AI agents.

Where the Academy fits

The Operator track at Pryme Intelligence Academy includes a module on running the rhythm, alongside human review and usage and billing, which suits contact centre managers. For teams, an admin view shows progress, results, certificates and expiry dates, which becomes the manager's register. A free readiness assessment for up to 25 people helps pick the first queue.

Questions people ask

Does the manager need to sit the practicum if they rarely approve items?

Yes. A manager who has not decided held items under assessment will misjudge how long they take and how they go wrong, and will staff and coach the queue badly.

How many certified people does a contact centre need?

At least two per queue per shift, plus cover for leave and training. Work it out from the rota, not from headcount.

What should the manager watch in the first month after launch?

Held items over target by shift, overturned approvals, refused items customers complain about, and certificates expiring in the next quarter.
