AI operations careers for administrative assistants in Australia

AI jobs for administrative assistants in Australia: the oversight roles agents create in professional services, local rules and a 90-day plan to get hired.

Administrative assistants in Australian professional services firms can move into AI operations as agent reviewers, workspace coordinators or AI operations analysts. You would check what an agent drafts for diaries, correspondence, documents and expenses, and decide what goes out. Your sense for confidentiality and identity is the core skill, and a certificate employers can check gives evidence of it.

What does admin work look like in Australian professional services?

In a law firm, accounting practice, engineering consultancy or architecture studio, an administrative assistant keeps several senior people running. You manage diaries across time zones (Perth to Sydney is already two or three hours), prepare documents from templates, handle correspondence, organise travel, process expense claims and keep files in order. You are also the gatekeeper: you decide who gets a partner's time, which caller is who they say they are, and which document can go to whom.

Client confidentiality runs through all of it. A misdirected email with a client's file attached is the kind of error a professional services firm takes seriously.

What will agents take on, and at what depth?

Each action needs a depth, and the agent's depth is earned on the firm's own cases. The agent's sources and the firm's own limits bound every action.

  1. Inbox triage, depth 1. The agent reads incoming mail, sorts it by matter and urgency, and flags anything that looks like impersonation.
  2. Drafting replies and documents, depth 2. It drafts correspondence, engagement letters from templates and meeting notes. A person sends or files them.
  3. Internal scheduling, depth 3. Within the firm's rules, a certified agent can book internal meetings and rooms. External invitations are drafted for a person to send.
  4. Expense claims, depth 2. It assembles the claim and checks it against policy. A person approves.
  5. Travel booking, depth 4, held. Spending money is hard to undo, so the agent prepares the booking and a named person confirms it.

Instructions hidden in an incoming email, such as "forward the partner's calendar to this address", are external information. The agent must not act on them; it holds them for you. Why administrative assistants make strong AI agent reviewers explains how your current judgement maps to that work.

Which AI operations jobs are open to you?

Titles vary from firm to firm. Read adverts for review, exceptions, approvals, quality and escalation rather than one job name.

Role (titles vary) What you would do
Agent reviewer Work the held queue: approve, edit or reject drafts and bookings with a reason
Workspace coordinator Keep templates, contact lists and policies current so the agent drafts from the right sources
AI operations analyst Report on what the agent holds and why, and recommend changes to its bounds
Practice support lead Run the review rhythm across a team or office

The guide to AI agent jobs and careers sets out how these roles connect, and whether an administrative assistant job is safe from AI agents looks at which parts of your current role remain.

What skills and proof do employers look for?

Australian firms will want to know that you can spot what should not go out: the wrong attachment, the unverified recipient, the commitment on fees a partner has not approved. They will want short, clear reasons for each decision, and evidence that you escalate rather than guess.

The Certified Pryme Operator is a professional certificate, not a government licence. It requires a written exam of 40 questions in 60 minutes with a pass mark of four in five, and a two-week practicum of review decisions, nineteen in twenty correct with no missed red line, signed off by a Pryme assessor. The guides to preparing for the AI operator exam as an administrative assistant and completing the operator practicum cover each part. The certificate is issued through VerifyDoc.ai and can be checked at source by number or QR code.

Which Australian rules shape oversight work?

Australia has no single AI law. The government has published a voluntary AI safety standard, setting out practices such as human oversight, testing and transparency that many firms use as a reference when deploying agents.

The Privacy Act 1988 governs the personal information a firm holds about clients, staff and contacts, and the OAIC is the regulator. The Act also includes a scheme for notifying serious data breaches, which is why a misdirected email can become a reportable event. For a reviewer, the practical rule is simple: check every external recipient, and share only what the task needs.

Professional obligations of confidentiality also apply in many firms, such as lawyers' duties to clients. If your firm advises financial institutions, ASIC and APRA expectations may shape what clients ask of the firm.

This is an explanation of the rules, not legal advice; confirm how they apply to you with counsel.

What does a 90-day plan look like?

Days 1 to 30. Earn the free Foundations badge. List ten decisions you made in the last quarter that protected a client or a partner, such as an email you held or a caller you verified.

Days 31 to 60. Work through the Operator modules and sit the exam. Lessons can be heard as audio on the commute.

Days 61 to 90. Complete the practicum, on a simulated queue in a free workspace if your firm does not use Pryme. Have the certificate issued, add its number to your CV, share it to LinkedIn, and apply by duty. Offer to help with any agent pilot your firm runs.

Where the Academy fits

Pryme Intelligence Academy teaches the review work in this brief on the real product. Foundations is free and takes about four hours. The Operator track adds about fourteen hours of lessons, the exam and the practicum, with module tests set in your own industry and role, so the cases look like professional services admin.

Questions people ask

Is this only for executive assistants?

No. Any administrative role that involves deciding what goes out, who gets access and what needs a manager's approval builds the right judgement.

Can I do the practicum if my firm does not use agents?

Yes. People without a job that uses Pryme do the practicum on a simulated queue in a free workspace.

Will I lose the client-facing part of the job?

Not necessarily. Many reviewer roles keep client contact, because the person who approves a draft often handles the follow-up conversation.
