US administrative and executive assistants can move into AI operations as agent reviewers, workspace coordinators and AI operations analysts. Professional services firms are using agents to draft correspondence, schedule meetings and assemble documents, and someone has to decide what actually goes out. That is your judgement at work, and a certificate employers can check shows it.
What does admin work look like in US professional services?
In a US law firm, accounting firm or consulting practice, an administrative assistant supports attorneys, partners or consultants who bill by the hour and travel often. You manage calendars across time zones from coast to coast, prepare and format documents, handle correspondence and client intake paperwork, process expense reports, book travel and keep matters and engagements organised in the firm's systems.
Client confidentiality is constant. Law firms protect privileged material, accounting firms protect financial records, and some firms handle health information that carries its own federal rules. Every outgoing email has a recipient you are expected to check.
What will agents do in your work?
Each action needs a depth, and the agent's depth is earned on the firm's own cases. The role sets a ceiling; the evidence sets the depth; the lower wins.
| Capability | Depth | The agent | You |
|---|---|---|---|
| Email triage | 1 | Sorts by client and urgency, flags impersonation | Decide what is genuine |
| Correspondence | 2 | Drafts from firm templates | Review and send |
| Calendar | 3 | Books internal meetings within firm rules | Handle external invitations |
| Client intake | 2 | Collects documents, drafts the file | Verify declared identity details |
| Travel and expenses | 4, held | Prepares bookings and reports | Approve |
An instruction hidden in an email, such as a message claiming to be from a partner asking for a client file to go to a personal address, is external information. The agent holds it, and a person verifies through a known channel. Why administrative assistants make strong AI agent reviewers explains why your instincts fit this work.
Which AI operations jobs can you go for?
US titles vary a lot: AI operations associate, workflow specialist, practice support analyst, quality reviewer, knowledge coordinator. Read the duties for review, exceptions, approvals, quality and escalation.
Agent reviewer. You work the held queue, with a reason for each decision.
Workspace or knowledge coordinator. You keep templates, precedents, contacts and firm rules current, so the agent drafts from correct sources.
AI operations analyst. You report on what is held and why and recommend changes to the agent's bounds.
Practice support lead. You run review for a group or office.
The guide to AI agent jobs and careers maps the field, and is an administrative assistant job safe from AI agents looks at which parts of your role stay with people.
What do US employers look for, and how do you show it?
US employers read CVs (resumes) quickly. Lead with decisions, not tasks: "verified recipients on all outgoing client documents for four partners" says more than "handled correspondence". Prepare for behavioural interviews with the interview answers about AI agents for administrative assistants.
Then add proof. The Certified Pryme Operator is a professional certificate, not a state or federal licence. It requires an exam of 40 questions in 60 minutes with a pass mark of four in five, explained in how administrative assistants can prepare for the AI operator exam, and a two-week practicum of review decisions, nineteen in twenty correct with no missed red line, explained in how to complete the operator practicum. It is issued through VerifyDoc.ai and can be checked at source by number or QR code.
Which US rules shape oversight work?
There is no single federal AI law in the US. Rules come from privacy law, sector rules and a growing set of state laws.
State privacy laws such as California's CCPA as amended by the CPRA give individuals rights over their personal information, and Colorado has passed an AI act aimed at high-risk systems that make consequential decisions. HIPAA governs health information where a firm handles it for covered clients. GLBA governs the privacy of financial information at financial institutions, which shapes what accounting and law firms serving them must protect. The NIST AI Risk Management Framework, with its Govern, Map, Measure and Manage functions, is voluntary but widely used by firms setting up oversight.
This is an explanation of the rules, not legal advice; confirm how they apply to you with counsel.
What is a 90-day plan to get hired?
Days 1 to 30. Earn the free Foundations badge. Rewrite your CV so every line is a decision.
Days 31 to 60. Work through the Operator modules and sit the exam. Lessons can be heard as audio on the commute.
Days 61 to 90. Complete the practicum, on a simulated queue in a free workspace if your firm does not use Pryme. Have the certificate issued, add its number to your CV and LinkedIn, and apply by duty. Ask your office manager whether the firm plans an agent pilot.
Where the Academy fits
Pryme Intelligence Academy teaches agent review on the real product. Lessons, labs and tests are free, every lab runs in a free Build workspace, and module tests are set in your own industry and role. You pay an issue fee only when a professional certificate is issued, never to pass.
Questions people ask
Is this the same as becoming a paralegal?
No. Paralegal work involves legal substance. Agent review focuses on what the agent drafts, sends and books, and whether it stays within its bounds.
Can I do this remotely?
Some employers hire remote reviewers. Check where client data must be handled and any state-specific employment rules.
Do I need to know how AI models work?
No. You need to understand depth, the four verdicts and where facts come from, and to make sound decisions on what the agent proposes.
