Yes, for claims that fit the warranty plainly. An agent can check the purchase record, the warranty period and the fault type against the terms, then approve a standard repair or replacement within its limit. Disputes over whether damage is a fault, claims needing inspection, and claims just outside the warranty period go to a person.
What decides whether the agent can approve?
Proof of purchase from the business's own records. A registered product, an order in the system, a serial number matched to a sale. A customer's photo of a receipt is useful but weaker.
Inside the warranty period, worked out from the purchase or delivery date the records hold.
A covered fault type. The terms list what is covered. A leak from a seal may be covered; a cracked casing after a drop is usually accidental damage.
A standard remedy. Repair, replacement or a set refund, at a value within the agent's limit.
Evidence that does not need an expert. Where a fault can only be confirmed by inspection, the agent arranges the inspection rather than deciding.
Why must the agent never say "out of warranty, nothing we can do"?
Because a manufacturer's warranty usually sits on top of the customer's legal rights, not in place of them. In many markets, consumer law gives buyers rights against the seller for goods that are faulty or do not last as long as they reasonably should, whatever the warranty says.
An agent that ends the conversation at the warranty's expiry date may be misstating the customer's position. The safe answer is to say the warranty has expired and pass the case to a person who can consider anything else that applies.
What may the agent do, and what stays with a person?
| Claim | The agent | A person |
|---|---|---|
| In period, covered fault, purchase on record, within limit | Approves repair or replacement | Samples |
| Fault can only be confirmed by inspection | Books the inspection | Decides after it |
| Customer and business disagree: fault or damage | Records both accounts and the evidence | Decides |
| Just outside the warranty period | Explains the warranty position, holds | Considers goodwill and legal rights |
| Remedy above the agent's limit | Drafts the approval | Approves |
| Claim for losses caused by the fault | Records it | Decides |
Claims for losses, such as food spoiled by a failed fridge, are compensation claims rather than warranty claims; see how to handle compensation claims for service failures with an AI agent.
What does this look like in practice?
Take a small-appliance manufacturer with a 12-month warranty. A customer reports a coffee machine leaking from the base after ten months. The product is registered, the serial number matches, and leaks from the water tank seal are a listed fault with replacement as the remedy.
The agent approves a replacement, books collection of the faulty unit and confirms the dates. A second customer reports the same fault at fourteen months. The agent says the warranty has expired, does not say nothing can be done, and holds the claim for a person with the purchase date, fault description and a note that the fault matches a known issue. The person offers a replacement as goodwill.
The full process is in how to handle warranty claims with an AI agent.
Are extended warranties different?
Sometimes. In some markets an extended warranty sold with a product is an insurance contract, with claims handled under insurance rules. Where that applies, the questions in the EU AI Act and AI agents in insurance claims become relevant too.
Which controls make it safe?
- Warranty terms and fault lists read from the policy library.
- Purchase and registration facts from sealed records; customer uploads treated as supporting evidence.
- A rule against stating that a customer has no rights when the warranty expires.
- Limits on remedy value, per claim and per day.
- Repeat claims on the same product type reported to quality teams.
Warranty disputes often become complaints, covered in whether an AI agent can handle customer complaints. Customers who need a different way to return goods are covered in whether an AI agent can handle accessibility requests. The wider approach is in the guide to AI customer support agents.
Questions people ask
Can the agent decide a fault was caused by misuse?
No. That is a contested finding that needs evidence and a person's judgement.
Can the agent ask for photos or videos?
Yes, as supporting evidence. They help a person decide, but on their own they should not override the purchase record.
What if the replacement model is out of stock?
The agent can offer the alternatives the policy lists. Anything else is a person's decision.
