It can prepare the draft. An AI agent can map the trial balance to statement lines, roll forward comparatives, build the notes from ledger data and tie every number back to its source. Judgements such as estimates, going concern and disclosures belong to the finance team. A person other than the preparer reviews every draft, and the directors approve.
What is mechanical in a set of statements?
Much of the work in producing financial statements is mapping and checking. Each ledger account maps to a line. Notes are built from sub-ledgers: the fixed asset register for the asset note, the debtor ageing for receivables, the loan schedule for borrowings. Comparatives roll forward from the prior set. Then every figure that appears more than once has to agree everywhere it appears.
An agent can do that work and keep a trail from each number back to the accounts that make it up. That trail is what a reviewer and, later, an auditor will use.
What is judgement?
The statements also contain decisions. How much to provide against doubtful debts. Whether an asset is impaired. Whether the business is a going concern. Which events after the period end need disclosing. What the accounting policies note should say, and whether a policy has changed. How to describe a significant transaction in the strategic narrative.
The agent can gather evidence for each, but the decision and the words that express it belong to people. A draft that presents the agent's guess at a provision as a settled number is a risk, not a saving.
Which tasks does the agent take, and which stay with people?
The agent prepares, at depth 2: - the mapping of each ledger account to a statement line, with changes since the prior set flagged; - primary statements and comparatives; - notes built from sub-ledgers and schedules; - a tie-out of every figure across statements and notes; - a disclosure checklist with each item marked as addressed, not applicable or needing a decision; - a list of judgements with the evidence for each.
People: - the financial controller decides estimates, policies and disclosures; - a reviewer who did not prepare the draft checks it line by line; - the finance director signs off the draft for the board; - the directors approve the statements.
The separation is between preparer and reviewer, and between both of them and the directors. The agent is a preparer. Its mapping changes are visible to the reviewer, so a line cannot quietly move.
An illustrative example
Take a family-owned manufacturing group preparing its annual statements. The agent maps the trial balance and finds four accounts opened during the period with no mapping. It proposes lines for each; the controller approves three and moves one, a new customer deposit account, from receivables to liabilities.
The agent builds the notes and ties them out. It finds that the borrowings note does not agree with the face of the balance sheet by 15,000: one loan's accrued interest is in the ledger as a payable, not as part of the loan. It reports the difference and both possible presentations. The controller chooses one, and the agent updates both places.
It also lists the period's judgements. A major customer entered administration after the year end. The agent attaches the notice and the outstanding balance. The finance director decides it needs both a provision and a disclosure, and writes the disclosure wording.
What controls make it safe?
- Mapping is versioned. Each change shows who approved it.
- Every figure traced. From statement to note to ledger account.
- Judgements listed, not decided. With evidence attached.
- Independent review. By someone who did not prepare the draft.
- Directors' approval recorded. On the version approved.
The controls around this process need evidence of their own, which is the subject of how to evidence financial controls when an AI agent does the work. The wider controls are in AI agents for finance: books you can audit.
Is this the same as reconciling supplier statements?
No, although the names overlap. A supplier statement is a list of what one supplier says you owe, and reconciling it is an accounts payable task, covered in whether an AI agent can reconcile supplier statements. Lenders, meanwhile, read financial statements from the other side; the agent's role there is set out in how to spread financial statements for business lending.
Questions people ask
Can the agent write the narrative sections of the annual report?
It can draft factual parts, such as describing changes in revenue and costs, from the numbers. The strategic narrative, risks and outlook are the directors' to write and approve.
Does the agent need to know the accounting standards?
It needs the business's own policies and disclosure checklist, maintained by the finance team. The finance team applies the standards; the agent applies the policies they set.
Can the agent prepare statements for many small entities?
Yes, and this is where it saves most. Dormant and simple subsidiaries follow the same pattern year after year, so a reviewer can work through them quickly.
