Can an AI agent reconcile supplier statements?

An AI agent can reconcile supplier statements to the payables ledger and explain differences. An AP lead signs off, and no statement triggers a payment.

Yes. Reconciling a supplier statement means comparing the supplier's list of what you owe with your own payables ledger and explaining every difference. An AI agent can do this for every supplier, every month. The AP lead signs off the differences, and a statement claiming an unpaid invoice never triggers a payment by itself.

What conditions decide how much the agent can do?

The main one is the source. Supplier statements arrive by email, so they are external claims. They tell you what the supplier believes; they do not prove what you owe. That shapes everything the agent does with them:

  • Differences are explained, not accepted. If the statement shows an invoice you have no record of, the agent requests a copy. It does not add the invoice to the ledger from the statement.
  • Statements cannot change supplier details. A statement showing a new bank account or remittance address is a red flag, handled under the supplier bank detail change verification checklist.
  • Payments in transit are checked against the bank. If you paid and the supplier has not recorded it, the agent finds the payment in the bank feed and sends the remittance details.

The second condition is access. The agent reads the payables ledger and the bank feed. It does not post to either.

What does the agent prepare, and who signs off?

The agent, at depth 2 or 3: - reads each statement and matches its lines to the ledger; - classifies each difference: invoice not received, invoice received but not yet approved, payment in transit, credit note missing on one side, disputed amount, or unknown; - requests missing invoice copies and sends remittance details at depth 3, using the contact on the master file; - drafts journals for genuine errors on your side at depth 2; - reports the result per supplier with each difference explained.

The AP lead: - reviews unexplained differences and old items; - approves any journal the agent drafted; - decides disputed amounts with the budget holder; - signs off the reconciliation.

The AP lead should not be the person who processes that supplier's invoices day to day. A reconciliation reviewed by the person whose work it checks is weaker evidence.

An illustrative example

Take a food processor with 300 active suppliers. At month end the agent reconciles statements from 240 that sent them.

For 205, the statement agrees with the ledger after allowing for payments in transit, which it confirms against the bank feed. For 35 there are differences. Twenty-two are invoices on the statement that the business has not received; the agent requests copies. Eight are payments the supplier has not yet applied; it sends remittance details. Three are credit notes the supplier issued but the business never recorded; it requests copies and drafts nothing until they arrive.

Two are more serious. One supplier's statement shows a different bank account in the footer from the one on file. The agent flags it for verification. Another lists an invoice for 18,500 that matches no order, receipt or approval. The AP lead asks the budget holder, who has never heard of it, and the case goes to the fraud lead.

What controls make it safe?

  • Statements are external. They can start a query, never a payment or a master file change.
  • Contacts from the master file. Requests for copies go to the known contact, not the statement's sender.
  • No posting from statements. Missing invoices are requested, received and processed normally.
  • Independent sign-off. By an AP lead who does not process that supplier.
  • Coverage tracked. Suppliers who do not send statements are listed, so silence is noticed.

Where Pryme fits

In Pryme, a supplier statement reaches the agent through the Pryme Context Protocol marked external, and an external claim cannot authorise a payment or change supplier details. The reconciliation capability is certified on your own past statements, including ones with false invoices or changed bank details.

The step-by-step method is in how to reconcile supplier statements with an AI agent. The same matching logic applies when you reconcile company card spend and payroll to the general ledger. The wider controls are in AI agents for finance: books you can audit.

Questions people ask

What if a supplier never sends statements?

The agent can request one, or reconcile from the supplier's portal if one exists. Key suppliers with no statement for several months deserve a direct check.

Should we reconcile every supplier or just the large ones?

With an agent, every supplier is affordable. Small suppliers are where duplicate and false invoices often go unnoticed.

Can the agent agree a statement balance with the supplier?

It can confirm the reconciled position in writing at depth 3 when there are no unexplained differences. Any balance agreement involving a dispute is the AP lead's.
