AI agent skills by role·Answer

How do payroll administrators handle an action an AI agent has held for them?

Payroll administrators handle held actions by checking who asked for the change, the variance and the approvals, then deciding with a reason.

A payroll administrator handles a held action by asking three questions before touching the figure: who asked for this change, how far does it move pay from last period, and has the right person approved it in the HR or finance system? Only then do they approve, edit or decline the agent's draft, with a reason an auditor could follow.

What gets held in payroll?

An agent in payroll prepares the pay run, calculates adjustments and answers employee queries. Most of its calculation work is done at depth 2 or 3: it drafts adjustments and may apply routine ones, such as standard overtime from approved timesheets, within the employer's own limits. A held action is one it has prepared but may not apply. In payroll the usual holds are:

  • Bank detail changes, which are a common route for payroll fraud.
  • Off-cycle payments, such as an advance, a missed payment or a correction outside the normal run.
  • Large variances, where an employee's net pay moves more than the employer's limits allow from one period to the next.
  • Retrospective adjustments to pay or deductions over several periods.
  • Starters and leavers, where pay depends on a contract or termination date not yet confirmed in the HR system.
  • Statutory deductions changes, such as a new tax code or a court-ordered deduction.

What does the administrator check?

Who requested it. Every fact reaching the agent carries its provenance. A pay rise recorded in the HR system is sealed: it comes from the system of record. An approval from a named manager in the workflow is signed. An employee's email asking for an advance is declared. A message that looks like it comes from an employee asking to change their bank account is external until verified through the employer's own process.

The variance. Compare the draft with the last normal period. Can every difference be explained by a recorded change?

The approvals. Is the change approved by the person whose authority covers it, in the system the employer uses for that approval? An agent's draft does not stand in for a missing approval.

Timing. Does the change belong in this run, the next run, or an off-cycle payment? Late changes are where most payroll errors come from.

Approve, edit or decline

Decision Typical case Reason should state
Approve Promotion recorded in the HR system with manager approval; variance explained The record and approval relied on
Edit Overtime approved for 12 hours, draft shows 21 The corrected figure and its source
Decline Bank change requested by email only; leaver date not confirmed What is missing and who was asked

Declining an action is not the end of it. The reason should name the next step, so the employee is paid correctly and on time once the gap is closed.

A worked example

Take a regional council's payroll team. Two days before the monthly run, the agent holds an off-cycle payment of 1,850 for a care worker, drafted from an email in which her manager asks for "the shift allowance she was missed in August and September".

The administrator checks the timesheet system. Shifts for August are approved and the allowance is due; September's timesheets are approved for only half the shifts named in the email. She edits the payment to the August amount plus the approved September shifts, 1,120 in total, records the reason, and approves. She asks the manager to approve the remaining shifts in the timesheet system so they can be paid in the next run. The care worker is paid what is owed now, and the record shows why the figure differs from the request.

What controls keep this safe?

  • Bank changes always hold, and are verified through a channel the employer already holds for the employee.
  • Off-cycle payments need two people: one to approve the calculation, one to release the payment.
  • The agent never changes master data on a declared request.
  • Every decision is filed with name, reason and evidence.

The pattern is the same for neighbouring roles; see how IT administrators handle held actions. Public bodies add their own duties: payroll administrator training in the public sector in Spain and in the US show how. The full role map is in AI agent skills by role.

Where the Academy fits

Pryme Intelligence Academy's Operator track is for the people who review a live workspace every day, which in payroll means the administrators who clear holds before each run. Its modules on human review, reading the workspace and when something goes wrong cover the checks above, with module tests set in the learner's own industry and role. Lessons and labs are free and run in a free Build workspace.

Questions people ask

Can a payroll administrator approve their own manager's pay change?

Not alone. Changes involving people in the administrator's own reporting line should be approved by someone independent.

What if the run deadline arrives with holds still open?

Pay the undisputed amount and process the held item off-cycle once verified. Do not clear holds in bulk to meet a deadline.

Should the agent be allowed to apply bank changes at all?

Not on its own. Bank detail changes should stay held for a named person in every payroll set-up.
