Plan on two to three months if you study a few hours a week around a full-time admin job. The route is about 4 hours of Foundations, about 14 hours of Operator lessons and labs, a one-hour written exam and a two-week practicum of review decisions. Administrators often move through the lessons quickly; save your attention for the practicum.
How does the time break down?
| Stage | Hours or length | Typical span for a working administrator |
|---|---|---|
| Foundations (six modules) | About 4 hours | One to two weeks |
| Operator (eight modules, labs, module tests) | About 14 hours | Four to six weeks |
| Written exam | 40 questions in 60 minutes | One sitting |
| Practicum | Two weeks | Two weeks |
| Certificate issue | After assessor sign-off | Days |
The lessons can be read or played as audio, with highlights and notes. Module tests are set in your own industry and role, so an administrative assistant in a professional services firm practises on diary, travel, purchasing and correspondence cases.
What does an administrative assistant bring to it?
More than you might think. Administrative work is already full of small approvals and checks: whether a meeting can move, whether a purchase is within budget, whether a letter is ready to go. Agents now take on much of that preparation. An agent at depth 2 drafts the email; you send it. At depth 3 it books routine meetings or travel within policy; you handle the exceptions.
What is new is reading the agent's reasoning: what it held, what it refused, and which bound decided. That comes from the module on reading the workspace and from the labs. Give it extra time.
A sample schedule
- Weeks 1 and 2: Foundations, two hours a week, mostly as audio.
- Weeks 3 to 8: Operator modules, roughly one a week, with the module test at the end of each. One extra hour a week in the labs.
- Week 9: Revise weak modules and sit the exam.
- Weeks 10 and 11: Practicum.
- Week 12: Certificate issued through VerifyDoc.ai.
Avoid scheduling the practicum during your busiest period, such as a board meeting cycle or year-end events. The practicum asks for nineteen in twenty correct decisions and no missed red line, and fatigue is the usual cause of misses.
What red lines matter in admin work?
The obvious one: an email from outside saying a supplier's bank details have changed cannot authorise a payment. Administrators often process supplier invoices and are frequent targets. Others include sharing personal information without confirming who is asking, and sending anything contractual without the right person's approval. Learn these until you do not need to think about them.
An example
Take an administrative assistant we will call Sarah at a forty-person engineering consultancy. Her firm has not adopted agents yet, so she does everything on her own time. She finishes Foundations in a week, then studies one Operator module a week, listening on the train. She sits the exam in week eight. With no live queue at work, she does her practicum on a simulated queue in a free workspace, an hour each evening for two weeks. She is certified at around the eleven-week mark.
Sarah then adds a short section to her CV naming the review decisions she practised; the AI agent skills CV section for an administrative assistant shows the format.
Does where you work change the timeline?
The route is the same everywhere, but working patterns differ. People in long-commute cities often use audio lessons heavily. How to get AI operator certified while working in Australia and the Singapore version give market-specific schedules. Virtual assistants, who often juggle several clients, face a similar timeline; see how long a virtual assistant takes. The guide to AI operator certification covers the full route.
Questions people ask
Can I start with only Foundations?
Yes. Foundations is free, takes about four hours and earns a badge with no expiry. It is a sensible first step if you are unsure.
What does it cost?
Lessons, labs and tests are free. The professional certificate carries an issue fee, paid to be issued, never to pass. Employers using Pryme Intelligence get seats with paid plans.
How long is the certificate valid?
Certified Pryme Operator is valid for 12 months. Renewal is an update module and a short quiz.
