How to volunteer for an AI agent pilot as a virtual assistant

How to volunteer for an AI agent pilot as a virtual assistant: offer a client a reviewed trial, keep their data separate, hold all spend and log decisions.

Pitch it to your best client as a reviewed trial. Offer to run an agent on part of their inbox, diary or invoicing, with every draft checked by you, spend held for their approval and a simple decision log. If you work through an agency, offer the same to the agency's pilot. Either way, the log becomes your evidence.

How is volunteering different when you are a virtual assistant?

Most virtual assistants work for several clients, often on a freelance basis or through an agency. There may be no single employer running a pilot. That changes the approach: instead of asking to join someone else's pilot, you propose a small one to a client who trusts you, or you volunteer when your agency tries agents across its assistants.

The upside is control. You choose the task, the limits and the review routine. The downside is responsibility: if the agent sends something wrong in a client's name, it is your relationship at stake. The guide to AI agent jobs and careers explains why oversight like this is becoming a recognised skill.

Which client and task should you choose?

  1. Pick a client with steady, repetitive work and a good relationship. Inbox triage, diary requests and invoice chasing are good candidates.
  2. Avoid clients with highly sensitive work at first, such as those handling health or legal matters.
  3. Choose one task, not the whole account.
  4. Write a one-page proposal: what the agent drafts, what you check, what the client approves, how long the trial runs and how you will report.
  5. Agree the fee position before you start. Some clients expect a trial to be cheaper; others value the review time. Settle it in writing.

What does the reviewed workflow look like?

  1. Agent, depth 1: reads the client's inbox, calendar or invoice list, only for that client. The client's own systems are sealed. A message from their contact is declared. An email from an unknown sender is external.
  2. Agent, depth 2: drafts replies, proposes diary slots or prepares invoice reminders.
  3. You: check each draft for accuracy, tone and confidentiality; approve, edit or hold.
  4. Agent, depth 3: once it has proved reliable on the client's own past requests, accepts internal diary bookings and sends routine reminders within rules the client agrees.
  5. Agent, depth 4, held: prepares anything that spends money, such as travel bookings or subscriptions, and holds it.
  6. Client: approves held spend and anything sent in their name that takes a position.
  7. You: keep a short weekly note for the client.
Step The agent does Depth Stays with a person
Inbox triage Reads and sorts 1 You spot urgent and sensitive messages
Routine replies Drafts 2 You approve
Diary bookings, internal Books within rules 3 Client agrees the rules
Invoice reminders Drafts 2 You approve; disputes go to the client
Travel and spend Prepares and holds 4, held Client approves
Messages that commit the client Drafts and holds 2, held Client approves

Which controls protect you and your clients?

  • Client separation. Nothing from one client's account ever appears in another's. For a virtual assistant, mixing clients is the red line that ends relationships. Evidence: separate workspaces or settings per client, and your checks.
  • Spend is held. The client approves every purchase. Evidence: approvals in the record.
  • No bank detail changes by email. If you handle invoices or payments for a client, a supplier's emailed change is external and cannot authorise a payment. The bookkeeper volunteering playbook shows how practices handle the same risk.
  • Nothing commits the client without approval. Evidence: approvals on held messages.

What should you report, and what does it lead to?

Send the client a short weekly note: drafts reviewed, drafts changed and why, items held for approval, anything you stopped, and time saved if you both agree how to measure it. Keep it factual. A client who sees careful oversight is more likely to extend the trial, and to recommend you.

Over time, the work becomes a service: running and reviewing agents for small businesses that cannot employ an operations team. Some assistants also move into employed roles such as operations coordinator or agent reviewer. Read adverts for review, exceptions, approvals and quality, not just a title. How a virtual assistant can move into AI operations covers the options, the cover letter template for virtual assistants applying for AI operations jobs helps with applications, and whether a virtual assistant job is safe from AI agents is frank about what shifts.

Where do virtual assistants go wrong?

  • Starting with too many clients. Prove it with one first.
  • Letting the agent send directly to save time. Your value is the review. Skip it and you are competing with the agent, not overseeing it.
  • Unclear pricing. Agree how review time is charged before the trial.
  • No record. Without a log, you have only a story, and clients forget stories.

Employed assistants take a different route, through an employer's pilot; see the administrative assistant version.

Where the Academy fits

Pryme Intelligence Academy suits freelancers because lessons, labs and tests are free and every lab runs in a free Build workspace. Questions people ask

Do clients need to agree to an agent handling their work?

Yes. Tell them plainly what the agent will do, what you will check and where their data goes. Get agreement in writing.

Can I run a trial on my own business instead?

You can practise that way, but a client trial produces more convincing evidence because someone else relies on the result.

Will agents make virtual assistants unnecessary?

They will take over many routine tasks. Clients still need someone they trust to oversee the work, judge what matters and protect their reputation.
