Less safe than most admin roles, unless you change what you sell. Clients can buy agents that sort inboxes, book meetings, arrange travel and draft emails, which is the core of many virtual assistant packages. What stays valuable is judgement, discretion, relationships and running those agents for busy clients. The VA who supervises agents has a future.
Why is a virtual assistant more exposed than an in-house assistant?
An in-house assistant is part of a team, knows the people and handles things that come up in the corridor. A freelance VA is usually hired for a defined list of tasks, delivered remotely. That list is often exactly what agents do:
- Inbox triage: sorting, labelling, drafting replies, at depth 1 and 2.
- Diary management: proposing times, sending invites, rescheduling, at depth 3 within rules.
- Travel: finding options within a budget and holding the booking for approval.
- Document formatting and simple research.
- Invoice chasing with standard reminders.
When a client can switch these on in their own software, a VA selling only these tasks competes on price with something cheaper. Better to face that now.
What still needs a person?
- Judgement about people. Which email can wait, which client will be offended by a reschedule, who the client must never keep waiting.
- Discretion. Handling confidential matters, personal errands and sensitive correspondence.
- Exceptions. A flight cancelled at midnight, an event that needs a different venue tomorrow.
- Spending. Bookings and payments above a limit, and anything a client has not approved before.
- Supervising the agent. Someone must decide what the client's agent may do, check what it holds and fix its rules.
That last item is the opening. Many small business owners want agents but have no time to run them.
What does that look like in practice?
Take a VA we will call Leah who supports four independent consultants. Two of them now use agents for inbox and diary. Leah has repositioned: she sets up each client's agent rules, reviews what it holds every morning and handles the exceptions.
On Tuesday, one client's agent holds three items: a flight above the travel budget, a meeting request from an unknown sender claiming to be a new client's finance director, and a reply to an unhappy customer. Leah approves the flight after checking it is the only option arriving in time. She checks the sender's company independently and finds the request is a phishing attempt; the agent was right to treat an external claim with suspicion. She rewrites the customer reply in the client's voice. Her clients pay her for the judgement, not the typing.
Which controls make a client's agent safe to run?
| Control | What you set or check |
|---|---|
| Spend limits | Bookings above an agreed amount are held for you or the client |
| Contact rules | Unknown senders are never answered with sensitive information |
| Sources | The client's calendar is the record; an email request is external until verified |
| Depth per task | Drafting a reply is allowed; sending to a new contact may not be |
| Record | Every verdict is filed so you can show the client what happened |
Which skills make a VA harder to replace?
Learn to set up and supervise agents in the tools your clients use. Learn to write rules in plain terms: what the agent may do, what it must hold, what it must never touch. Practise reviewing quickly and recording a reason for each decision, so you can report to the client.
Change how you describe your service. "I manage your inbox" competes with software; "I run and oversee your admin agents and handle the exceptions" does not. Questions people ask
Should I lower my rates to compete with agents?
That is a race you cannot win. Change the service instead: offer oversight, exceptions and rules, which agents do not provide for themselves.
Can a VA get certified in running agents?
Yes. Some certificates in governed agents can be earned without an employer, using a simulated queue for the practical part. A checkable certificate helps a freelancer show clients a standard.
Is it worth moving to an in-house role?
It can be. In-house assistants handle more of the unplanned, people-facing work that agents do not do. If you enjoy that, it is a sound move.
