How to prepare loan settlement quotes with an AI agent

Prepare loan settlement quotes with an AI agent that runs the system calculator and checks items in flight, while a person approves any adjusted figure.

Let the loan system calculate; the agent assembles. The agent takes the figure from the system's own calculator for the chosen date, checks for payments in flight, fees and arrears, and drafts the quote with its validity period. Standard quotes can go out at depth 3 once certified; any adjusted, discounted or third-party quote is held for a named person.

What is a settlement quote, and who owns it?

A settlement quote, or redemption statement, tells a borrower how much they must pay to clear a loan on a given date. It includes the outstanding principal, interest accrued to that date, any early repayment charge the contract allows, fees, and credits for payments already on their way. It also states how long the figure is valid and, often, a daily interest amount for later settlement.

Loan servicing usually owns quotes. Finance owns the calculation rules in the loan system. Collections owns discounted settlements on loans in default, which are a different thing: those are negotiated concessions, covered in whether an agent can negotiate a settlement on a debt. This piece is about the standard payoff figure.

What does the agent prepare, and what does a person approve?

  1. Agent, depth 1: verifies the requester. The borrower through an authenticated channel, or a third party such as a solicitor or refinancing lender with written authority on file.
  2. Agent, depth 1: requests the figure from the loan system's calculator for the settlement date. It does not calculate interest itself.
  3. Agent, depth 1: checks what the calculator may miss. Direct debits due before the settlement date, payments received but not yet applied, arrears, fees raised but not posted, holds or legal markers.
  4. Agent, depth 2: drafts the quote. Figure, breakdown, validity date, daily interest, and the bank's payment details taken from its own sealed reference data.
  5. Agent, depth 3: issues standard quotes. Where the calculator produced the figure, no adjustment was needed, the requester is the borrower, and the loan is not in arrears or litigation.
  6. Person: approves everything else. Manual adjustments, fee waivers, quotes for third parties, loans in arrears or with legal markers.
  7. Person: releases security on settlement. Once the payoff is received and final, a person confirms the loan is cleared and releases any charge.
Step The agent does Depth Stays with a person
Verify requester Checks identity or authority 1 Doubtful authority
Calculate Requests system figure 1 Calculator disputes
Check items Lists in-flight payments, fees, arrears 1 Resolving conflicts
Draft Builds quote and breakdown 2 None for standard cases
Issue standard Sends quote to borrower 3 Complaints
Issue other Nothing until approved 2 Adjusted, waived, third-party quotes
Close Nothing None Clearing the loan and releasing security

Why should the system calculate, not the agent?

The contract's interest rules are encoded in the loan system: day count conventions, compounding, the treatment of early repayment charges, rate changes. An agent recalculating them from the agreement will be right most of the time and wrong in ways that are hard to spot. A quote that understates the payoff leaves a residual balance after the borrower believes the loan is closed. That is a complaint and, for a mortgage, a security that cannot be released.

The agent's value is in the checks around the figure. Calculators often ignore a direct debit that will collect before the settlement date, or a payment received yesterday but not yet applied. The agent reads these and either adjusts the draft through the system or holds it for a person.

Which controls apply, and what evidence do they leave?

Payment details from sealed data only. Redemption fraud works by sending the borrower or their solicitor a quote with a fraudster's account details. The agent takes the bank's details from its own reference data, never from a request, an email thread or an earlier document. Any request to quote different details is refused.

Authority for third parties. A solicitor or refinancing lender must have the borrower's written authority on file. Evidence: the authority reference attached to the filed quote.

Held adjustments. Any figure differing from the calculator's output is held, with the person who approved it and the reason.

Filed quotes. Every quote issued is filed with its breakdown, validity date and verdict. If a dispute arises, you can show exactly what was quoted and why.

Whether an agent can issue a loan settlement or redemption figure covers the decision in more depth.

Where does it usually go wrong?

In-flight payments counted twice or not at all. A payment due tomorrow is both reducing the balance and still being requested. List items in flight explicitly and state how the quote treats each.

Expired quotes honoured by mistake. Funds arrive after the validity date, and the loan is closed with interest still owing. Payoffs received after expiry should be checked against a fresh figure before the loan closes.

Closing before funds are final. Payment received is not the same as payment final. Understand settlement finality for each rail you accept before treating the loan as cleared.

Quotes on loans heading for write-off. A loan in default may be under a recovery strategy. A standard payoff quote can conflict with a settlement offer collections is about to make. Legal and default markers must stop the depth 3 path.

When a loan cannot be settled and moves towards loss, the relevant process is preparing loan write-off recommendations.

What should you measure?

  • Residual balances after settlement. Every one is a quote error; review each.
  • Quotes issued at depth 3 against held.
  • Time from request to quote sent.
  • Refused requests to change payment details. These are often attempted fraud; share them with the fraud team.
  • Quotes for third parties without authority on file. Should be none.

Questions people ask

Can the agent waive an early repayment charge?

No. It can draft the request with the borrower's reasons and any policy that applies. A waiver changes what the borrower owes, so a person grants it.

How long should a quote be valid?

Your servicing policy sets that, usually long enough for funds to arrive through the expected rail. The agent applies the policy and states the daily interest so late settlement can be handled.

Can the agent quote for a partial repayment?

Yes, if the system calculator supports it and the contract allows partial repayment. The quote should state the effect on remaining payments or term, using the system's own figures.
