Training teams for AI agents·Definition

What is a grace period?

A grace period is a short window after a deadline in which something still counts. How it applies to staff credentials, and why AI agents get none.

A grace period is a fixed window after a deadline during which a lapsed requirement is tolerated before consequences apply. In training for AI agent oversight, it usually means a short time after a person's credential expires in which they may keep working under limits while they renew. Agents themselves get no grace period.

Why do grace periods come up in agent oversight?

People's credentials expire. A reviewer's certificate might be valid for 12 months, an architect's for 24. Renewals slip because of holidays, peak periods or sickness. If the business has tied approval rights to a current credential, an expired one means the person can no longer approve held actions.

A grace period is a policy answer to that. It avoids a sudden gap in review capacity while keeping the rule meaningful. The danger is that a grace period quietly becomes permanent.

How does a grace period work in practice?

A sound grace period policy for reviewers states:

  1. Length. Short and fixed, for example 14 days.
  2. What the person may do. Typically review only, with no approval of depth 4 actions such as moving money.
  3. Who knows. The team lead and the person are told the day the credential lapses.
  4. What ends it. Renewal, or removal of review rights when the window closes.
  5. The record. Every decision made in the window is marked as such.

Why do agents get no grace period?

An agent's certificate lapses after 90 days, and a certification run that clears no depth drops it to depth 1 the same day. There is no tolerance window. The reason is that the agent acts at speed and volume: a few days of uncertified action at depth 4 can mean hundreds of payments.

This asymmetry is worth teaching directly. Reviewers should know that the agent's authority ends on the day, and should not expect it to keep working at its old depth "while someone sorts it out".

What does a grace period look like in a real team?

Take a small accounts team of four. One reviewer's certificate lapses during the month-end close. The team's policy gives a 14-day grace period: she may review held supplier payments and pass them to a colleague, but may not approve them. She renews in nine days. The record shows which payments she reviewed in the window and who approved each. The argument that small teams need AI agent training more than large ones is clear here: with four people, one lapse is a quarter of capacity.

How is a grace period different from a shadow period?

A shadow period comes before authority: a new reviewer or a new agent works alongside the real process without their decisions taking effect. A grace period comes after authority has lapsed. One builds confidence before go-live; the other bridges a gap after expiry.

Both differ from a closed period in accounting, the time after a period is locked when nothing more should post. Teaching staff how to stop a finance agent posting to a closed period is a separate control.

Which related terms should you know?

  • Recertification: renewing a credential before it lapses.
  • Currency: the rule, familiar from aviation's approach to training, that a skill only counts if it has been exercised within a set window.
  • Learning objective: what the renewal must prove.

Where the Academy fits

Certificates from Pryme Intelligence Academy show their expiry on the checking page, and a lapsed certificate shows as lapsed. Renewing Certified Pryme Operator is an update module and a short quiz. A team admin view lists expiry dates, so a lead can schedule renewals before any grace period is needed.

Questions people ask

Should every credential have a grace period?

No. Give one only where the person can work safely at reduced authority. For roles whose only job is approving high-value actions, there is nothing safe to do in the window.

Can a grace period be extended?

Policies should say no. One extension invites the next, and the expiry date stops meaning anything.
