AI agent skills by role·Answer

What should property managers learn before working with AI agents?

Property managers should learn how agents triage repairs, where emergencies escalate, which spend sits at which depth, and how to review tenant replies.

Repairs, rent and tenants: an agent touches all three, so property managers should learn how it sorts maintenance requests, which signals force an emergency escalation, what spend it may commit at which depth, how tenant claims are weighed by source, and how to review the replies it drafts before a frustrated tenant reads them.

What does a property manager's day look like with an agent?

Property managers juggle maintenance requests, contractor scheduling, rent collection, arrears, inspections, renewals, deposits and complaints, often across hundreds of units. Much of this is coordination. An agent can log and triage repair requests, book routine contractor visits, send rent reminders, draft replies to tenant queries and prepare inspection reports from notes and photos.

The manager's time shifts to judgement: emergencies, disputes, landlords' decisions and tenants in difficulty. That shift works when the manager trusts the agent's triage and knows where it stops.

What should property managers understand?

  • Emergencies are held, not queued. A message mentioning gas, flooding, no heat in winter, electrical faults or a security breach must produce an immediate escalation to a named person on call. Managers should know exactly what triggers it and test it.
  • Depth and spend. Typical settings: reading tenancy and maintenance records at depth 1; drafting tenant replies at depth 2; booking routine repairs with approved contractors under a cost limit at depth 3. Releasing deposits or paying contractors above limits is depth 4 at most, with a person approving.
  • Provenance. A tenant's report of a leak is declared. A contractor's completion report with photos is signed by the contractor. The lease in the management system is sealed. An email claiming to be from the landlord with new instructions is external until confirmed.
  • The minimum chain. Role scope, certificate, sources, the firm's own limits and the platform guardrails apply to each action, and the lowest decides. "Held: own limits, repair above 500" tells the manager why a booking waits.
  • Lapses. A certificate lasts 90 days and a run that clears no depth drops the agent to depth 1 the same day. Routine bookings then queue for people.

What does the agent do, and what stays with the manager?

The agent The property manager
Logs and triages repair requests Responds to emergencies and decides priority disputes
Books routine repairs with approved contractors under a cost limit Approves larger works and new contractors
Sends rent reminders and drafts arrears letters Decides on payment plans and any legal steps
Drafts replies to tenant questions Handles complaints and vulnerable tenants
Prepares inspection reports Decides on deposit deductions

What does a good review look like?

Take a lettings firm managing 400 flats. A tenant writes at 10pm: "The bathroom ceiling has a brown patch and it's dripping a bit. Not urgent, can someone come this week?" The agent classifies it as a routine leak, drafts a booking with a plumber for Thursday, and holds the booking because water near electrics triggers the firm's emergency rule.

The on-call manager reads it, sees the bathroom light sits in that ceiling, and sends an emergency plumber that night. The ceiling would have come down by Thursday. The tenant's "not urgent" was declared and well meant; the manager's judgement overrode it. The note "water near light fitting, emergency regardless of tenant's view" feeds the agent's next qualification round.

Which controls keep tenants and landlords safe?

An emergency rule that holds and escalates, tested regularly. Spend limits per job and per contractor. Landlord instructions confirmed through a known channel. Deposits and legal steps decided by people. A record of every booking and reply.
