Judging the urgency of a repair report is the property manager's most decisive skill once an agent takes first contact with tenants, because a gas smell logged as routine is a safety failure. Ranked after it: approving contractor spend, handling arrears and deposit decisions fairly, checking lease data, and banking corrections.
What does an agent take on in property management?
Property managers handle repairs, rent collection, arrears, tenancy renewals, inspections, deposits, compliance certificates and landlord reporting. Much of the volume is messages from tenants and contractors. An agent can log and categorise repair requests, book routine jobs with approved contractors at depth 3, draft arrears letters at depth 2, track certificate expiry and prepare landlord statements.
The property manager keeps what involves safety, money and fairness to tenants.
Which skills matter most, ranked?
- Triaging urgency. Tenants describe problems in their own words. "The boiler is making a funny noise and there's a smell" may be a gas emergency. The agent should hold anything that could be a safety issue and hand over at once; the manager must also catch the ones it misreads.
- Approving contractor spend. Jobs above the landlord's own limit are held. The manager checks the quote, the contractor's insurance and whether the work is the landlord's or the tenant's responsibility before approving.
- Handling arrears and deposits fairly. Arrears letters and deposit deductions affect people's homes and money. The agent drafts from sealed rent ledger data; the manager checks the tenant's circumstances, any payment plan and the evidence for each deduction.
- Checking lease data. Rent, review dates, break clauses and repairing obligations held in the lease register are sealed. A tenant's account of "what the agent agreed" is declared. Decisions should follow the register unless the manager establishes otherwise.
- Banking corrections. When a manager re-categorises a repair or edits an arrears letter, a short note lets the builder improve the next one.
What does the agent do, and what stays with the property manager?
| Task | The agent | The property manager |
|---|---|---|
| Repair reports | Logs, categorises, books routine jobs at depth 3 | Handles anything urgent or safety-related |
| Contractor quotes | Gathers and compares | Approves above the limit |
| Arrears | Drafts letters at depth 2 | Agrees payment plans, decides on escalation |
| Deposits | Drafts deduction schedule with evidence | Decides and negotiates |
| Certificates | Tracks expiry, books renewals | Confirms compliance |
What does triage look like on a busy evening?
Take a property management company with 800 homes. At 19:00 a tenant messages: "Water coming through the kitchen ceiling from upstairs, not a lot, it's near the light." The agent categorises it as a leak, finds the upstairs flat is also managed, and holds the job for the out-of-hours manager because water near electrics is a safety condition in its brief.
The manager calls the tenant, tells her to switch off the kitchen circuit at the fuse board, and sends the emergency electrician and plumber. The agent books both and messages the upstairs tenant. Without the hold, the job would have gone to the next-day queue. The manager's note asks the builder to add "near light", "near socket" and "sparking" to the safety terms.
That kind of correction is covered in how to teach property managers to bank corrections. Operations and risk managers rank skills differently; see skills for operations managers and skills for risk managers.
How should property teams build these skills?
Collect a year of anonymised repair messages and pull out every one that turned out to be urgent. Use them to test both the agent and the team. Practise deposit decisions on past cases with the evidence available at the time. Market specifics differ; see property manager training in Nigeria and in the UAE. Where the Academy fits
Pryme Intelligence Academy's Operator track suits property managers who review held repairs, contractor spend and arrears letters every day. Module tests are set in the learner's own industry and role, so practice cases are property cases. For a team, the free readiness assessment for up to 25 people shows scores by concept and the first agent to start with.
Questions people ask
Can the agent agree a payment plan with a tenant?
It can propose one within the landlord's stated rules at depth 2. A person agrees it, because plans affect the tenancy and the tenant's finances.
Should tenants know they are messaging an AI?
Yes. Tell them, and make it easy to reach a person, especially out of hours.
What if a contractor's quote is just under the approval limit every time?
Treat that as a signal. Review the contractor's quotes over time and consider whether the limit or the contractor needs attention.
