It depends on whether your work includes review. An administrative assistant who checks, approves or escalates other people's work, such as expenses, bookings, purchase requests or correspondence, will find an operator certificate maps onto the job as agents arrive. One whose role is mostly diary and front desk may get more from the free Foundations badge for now.
What changes for administrative assistants?
Admin roles cover a wide spread of tasks, and agents touch them unevenly. Diary management, drafting routine letters, booking rooms and travel, and filing are tasks a governed agent can do at depth 2 or 3, inside the organisation's rules. Purchases, expense approvals and anything that commits money sit at depth 4 and are usually held for a person.
The useful question is which side of that line your days fall on. If most of your work is the routine half, agents will take more of it. The remaining work is checking: approving held items, catching mistakes and knowing when something must go to a manager. That is what the Operator certificate shows.
When is it worth the time and fee?
It is a good investment when:
- Your organisation is introducing agents for admin, procurement or correspondence, and someone will need to review them.
- You already approve things, such as expense claims, purchase requests or supplier set-ups, and those approvals are moving onto an agent's queue.
- You want to move into operations, where review and escalation are the core of the job.
- You work across several managers or teams, and a credential that anyone can check helps you show what you can do.
The cost is about eighteen hours of learning across Foundations and Operator, a written exam of 40 questions in 60 minutes, and a two-week practicum of scored review decisions. Lessons, labs and tests are free; the certificate carries an issue fee, paid to be issued it, never to pass.
When is it not worth it, or not yet?
- No agents in sight and no review in your role. Take Foundations, about four hours, for the ideas and the free badge. Revisit Operator when something changes.
- Your employer is about to roll out agents with paid seats. Wait and take Operator alongside your team.
- You are moving into a role with no review element. The certificate will not describe what you do.
What would you be reviewing?
| Task | The agent | Stays with you |
|---|---|---|
| Diary requests | Books within rules | Clashes between senior people |
| Travel | Drafts options | Non-refundable bookings |
| Expense claims | Checks against policy | Exceptions and anything unusual |
| Supplier set-up | Gathers documents | Bank details, always verified |
| Letters | Drafts | Anything sent in a manager's name |
A red line most assistants will spot: a change of bank details for a supplier, received by email. It is external provenance and cannot authorise a payment.
An example: an assistant we will call Gemma
Gemma supports a director and two managers at a property firm. She handles expenses and supplier invoices as well as diaries. When the firm pilots an agent on expenses, she takes Operator, completes the practicum on the pilot queue, and becomes the person who clears held claims. Her colleague on reception, whose work is mostly visitors and phones, takes Foundations only, which suits her role.
Both made sensible choices. The certificate is worth most where it describes work you do.

Questions people ask
Is Foundations worth putting on a CV?
Yes, as long as you describe it accurately: a free badge covering why agents must be governed, the decision chain and depth. It shows interest and vocabulary, not review skill.
Can employers check the certificate?
Yes. It is issued through VerifyDoc.ai and can be checked by number or QR code. A lapsed certificate shows as lapsed.
How long would it take me?
Most administrative assistants finish in seven to nine weeks, studying around a full-time job.
