AI agent skills by role·Definition

What is a reviewer rota?

A reviewer rota schedules which certified people decide an AI agent's held actions on each shift, with cover, so the review queue is never left unattended.

A reviewer rota is the schedule of which people are on duty to decide an agent's held actions at each time. It names the reviewers for each shift, the types of held action each may decide, and who covers absences, so that whenever the agent holds something, a certified person with authority to decide it is available.

Why does a rota matter?

Because agents do not keep office hours, and held work does not decide itself. If the agent holds a payment at four in the afternoon and the only reviewer entitled to approve it left at three, the payment waits until morning. Multiply that across a week and the business either frustrates customers or starts loosening the agent's bounds to avoid holds. A rota prevents both.

A rota also enforces standing. Only people with a current certificate for the depth they will approve should appear on it. A rota built from whoever is free, rather than whoever is qualified, puts decisions in the hands of people not prepared for them.

What does a rota contain?

  • Shifts, matched to when the agent produces held work, not only to office hours.
  • Named reviewers per shift, with the types and depths each may decide.
  • Certificate status, so a lapsed certificate removes someone from the rota automatically.
  • Cover, a named backup for each shift.
  • Separation rules, so a reviewer never approves work they requested or prepared.
  • A lead per shift, for escalations and questions.

An example

Take a hypothetical regional bank's compliance team. Its agent assembles alert files and holds dispositions for investigators. Alerts arrive around the clock but most cluster after overnight batch runs. The team lead builds a rota: two investigators from seven in the morning to cover the overnight batch, one through the afternoon, and an on-call investigator for urgent sanctions hits in the evening. Each is certified to the depth they decide. When one investigator's certificate lapses before renewal, she is removed from the rota until she completes the update module, and her shifts are covered. The full method for that team is in how to build a reviewer rota for a compliance team.

How is a rota different from a reviewer's role?

The role defines what a reviewer does and needs to know; the rota schedules who does it when. An AI agent reviewer is a person qualified to decide held actions; the rota puts those people on duty. A team can have excellent reviewers and a poor rota, in which case held actions still wait. For a shorter definition of the role, see what an agent reviewer is.

A rota also differs from a general staff schedule. Being at work is not enough; being on the reviewer rota means having the standing to decide and being expected to work the queue during that time.

How do support teams differ?

Support queues often hold more items of lower individual risk, such as refunds and goodwill credits, with tighter response targets because customers are waiting live. Rotas there tend to have more reviewers per shift and shorter shifts on the queue, so people rotate between review and customer contact. That pattern is set out in how to build a reviewer rota for a support team. The guide to AI agent skills by role covers who should be on each.

Questions people ask

How many reviewers should be on each shift?

Enough to meet response-time targets for the expected volume of held items, plus one. Start from the agent's held volume during its shadow period.

Should the rota include the agent owner?

Usually not as a reviewer, since they built what is being reviewed. They should be reachable for questions about why the agent held something.
