More than the title suggests. An administrative assistant who can supervise governed agents can move into agent reviewer for office and correspondence agents, expenses reviewer, AI operations assistant and quality assistant roles. With experience, the step to AI operations analyst or owner of an internal agent is realistic. Your organising and checking habits are what employers need.
What work do office agents take on in a professional services firm?
In consultancies, law firms, accountancies and agencies, agents increasingly handle the administrative flow: sorting shared inboxes, drafting routine replies, booking meetings and travel, processing expense claims, preparing documents from templates and chasing missing information.
Each is a separate capability with its own depth. Sorting the inbox is reading. Drafting replies is depth 2, so a person approves anything sensitive. Booking travel within policy may run at routine depth once certified. Approving an expense claim above policy, or anything that moves money beyond a small limit, is held for a person.
Which jobs can you aim for?
- Agent reviewer for office agents. You decide what the agent holds: replies to clients, out-of-policy bookings, documents that do not match the template. Your knowledge of the firm's people and preferences is the advantage.
- Expenses reviewer. Expense agents check receipts against policy. You decide the exceptions and spot claims that look wrong.
- AI operations assistant. You keep queues moving, track when agents' certificates lapse, collect reviewers' notes and prepare weekly figures for the analyst.
- Quality assistant. You sample what the agent did alone, such as bookings and filed documents, and score it against a standard.
- AI operations analyst, later. Once you have a record of good decisions and clear notes, you watch patterns across all of an agent's work and take fixes to its owner.
Titles vary. A role called "business support coordinator" may be mostly agent review. Read the duties for review, exceptions, approvals and quality.
What does the work look like in practice?
Take a reviewer we will call Hollie at a consultancy. The expenses agent holds a hotel claim of 380 a night, well above the policy limit for that city. The agent's note says the claim has no pre-approval on record.
Hollie checks. The client engagement letter, which is sealed in the document system, says travel costs for this project are recharged to the client at cost, and the partner's approval email is attached to the claim, though it arrived as external. She confirms the approval with the partner directly, approves the claim, codes it as rechargeable and records her reason. She also notes that the agent should read engagement terms for rechargeable costs before holding. One case, two fixes.
What do employers look for?
- Care with detail: names, dates, amounts and attachments that match.
- Discretion: you already handle confidential information and know who may see what.
- Policy knowledge: travel, expenses, document standards, and their exceptions.
- Clear notes: a reason someone else can follow without asking you.
- Agent vocabulary: depth, held versus refused, where each fact came from, certification and expiry.
Many administrative assistants already do informal review: checking a manager's drafted email, correcting a booking, catching a duplicate invoice. A reviewer role makes that the job, with a record that shows its value.
How do you make the move?
Start where you are. If your organisation is introducing agents, ask to help with the pilot or to review an agent's drafts. If it is not, learn the vocabulary and get evidence employers can check, such as Pryme Intelligence Academy's free Foundations badge and, if you want to go further, a certificate based on real review decisions.

Questions people ask
Is this a step up from administrative assistant?
It often brings more responsibility, because your decisions are recorded and affect many cases. Whether it is a step up in grade depends on the employer.
Will office agents replace administrative assistants?
They take on much of the routine typing, booking and sorting. Organisations still need people who check, decide exceptions and know the firm. Some teams will be smaller, so building review skills early helps.
How do I present this to an employer?
Describe the checks you run and the errors you catch, in round numbers. The cover letter template for administrative assistants applying for AI operations jobs shows a structure, and becoming an AI operations analyst as a former administrative assistant covers the next step.
