An administrative assistant's cover letter for AI operations jobs should turn everyday checking into review evidence: the documents you check before they go out, the approvals you route, the errors you catch and the issues you pass upward. Keep it to four short paragraphs. Below is a template to adapt and a filled sample for a professional services firm.
What does the letter need to prove?
Administrative assistants often undersell themselves to AI operations employers. The letter's job is to show that you already do the core of the work. In a professional services firm you check letters, engagement terms and invoices before a partner signs; you notice when a client's details do not match the file; you know which requests need a senior person's approval. That is review, exceptions, approvals and escalation, the four duties most agent oversight roles are built on.
When a firm puts agents to work on correspondence, scheduling or document preparation, the agent drafts at depth 2 and a person sends. Someone has to read those drafts against the matter file and catch what is wrong. The letter should make it easy for a hiring manager to picture you doing that. What jobs an administrative assistant can get with AI agent skills lists the usual targets: reviewer, operations coordinator and workspace administrator.
Read the advert carefully. Titles vary, from operations assistant to AI support coordinator. If the duties include checking drafts, handling exceptions or routing approvals, your experience applies.
How do you adapt the template?
- Paragraph one: name the role and give one sentence on why your checking work fits it.
- Paragraph two: one specific example of an error you caught before it left the firm. Say what you checked it against.
- Paragraph three: what you would hold back from an agent's draft, which shows you understand where the risk sits. Mention any certificate, with a note that it can be checked.
- Paragraph four: a short close. Offer to talk; do not repeat the CV.
Keep it under 300 words. Avoid "passionate about AI". Say what you do.
The template
Dear [name of hiring manager],
I am applying for the [role title] position at [employer]. For [number] years I have worked as an administrative assistant in [type of firm], where much of my day is checking work before it reaches a client: [two or three items you check]. I would like to bring that checking to the review of agent-drafted work.
In my current role, [example: what you checked, what was wrong, what you checked it against, what you did]. I am trusted with this because I compare everything with the source on file rather than with what looks right.
I understand that an agent drafting [type of work] needs a person who knows when to stop it. I would never send [your red line] without checking it against [the source]. [Certificate name, issuer, valid to month and year, checkable at source, if held.]
I would welcome the chance to talk about how I could support your team.
Yours sincerely, [Your name]
A filled sample
A sample for illustration. Ellen is an invented candidate; the firm is described, not named.
Dear Ms Barker,
I am applying for the Operations Reviewer position at your accountancy and advisory firm. For six years I have worked as an administrative assistant to three partners in a mid-sized professional services firm, where much of my day is checking work before it reaches a client: engagement letters, fee notes and meeting summaries. I would like to bring that checking to the review of agent-drafted work.
On one occasion a fee note was about to go to a client with the previous year's agreed rate. I caught it because I check every fee note against the signed engagement letter on file, not against the last invoice. The partner corrected it before it was sent, and we added the check to the team's routine.
I understand that an agent drafting client correspondence needs a person who knows when to stop it. I would never send a letter that changes a client's fee, scope or payment details without checking it against the signed engagement and the partner's approval. I have also completed the Foundations course on governed agents.
I would welcome the chance to talk about how I could support your team.
Yours sincerely, Ellen Morris
What makes the sample work?
Ellen gives one example, not five, and names what she checked it against. Her red line is specific to professional services: fees, scope and payment details. She does not claim experience she lacks; she names a free course she has completed and stops there. A virtual assistant would frame things differently, as the cover letter template for a virtual assistant shows, because remote work for several clients brings different red lines.

Questions people ask
Should I mention that I have used AI tools at work?
Only if it shows judgement, such as catching an error in a drafted email. Employers in AI operations want people who check agent work, not people who are enthusiastic about using it.
Is a cover letter still expected for these roles?
Many employers still read one, and it is your best chance to translate an administrative job title into review experience. If the application form has a free-text box instead, use the same four paragraphs.
What if the advert asks for a certificate I do not have?
Apply anyway if you meet most of the duties, and say what you are doing about the gap. A course in progress, with a realistic completion month, reads better than silence.
